Position Summary:
We are seeking a detail-oriented and customer-focused Records Management Specialist II (RMS II) to support the Region 6 records management program. This position plays a key role in the planning, development, and execution of records-related services and training initiatives. The RMS II provides technical support across a range of records management functions and utilizes automated information systems to enhance recordkeeping accuracy and compliance.
The ideal candidate brings experience in data or records management, customer service, and training development, with proficiency in Microsoft tools and an understanding of electronic and physical records systems.

Key Responsibilities:

• Assist in the development and implementation of records management plans and procedures under the guidance of a Records Information Manager.

• Support the analysis of records management issues and contribute to strategic solutions across various formats (electronic, paper, etc.).

• Serve as a Records Liaison in a service bureau environment, responding to customer inquiries and delivering high-quality support.

• Provide administrative and technical support for the records center and automated tracking systems, such as Versatile.

• Assist with the creation, revision, and maintenance of training materials and procedural documentation.

• Conduct periodic training sessions for EPA staff in a classroom or virtual environment, covering topics such as:
o Records center operations
o Electronic records management
o File plan structure and compliance
o Handling of Confidential Business Information (CBI)

• Develop and maintain records documentation and reference materials.

• Utilize and administer relevant databases to support records management processes.

• Use Microsoft Outlook, Teams, and other tools for communication and collaboration.

• Collaborate with cross-functional teams to ensure accurate, accessible, and compliant records management services.

Qualifications:

• Education: College degree preferred, but not required.

• Experience:
o Prior customer service experience required.
o Experience in records or data management strongly preferred.
o Familiarity with electronic records concepts and practices.
o Previous experience writing and delivering training modules.

• Technical Skills:
o Proficiency in Microsoft Windows 10 or 11.
o Comfortable using Microsoft Outlook and Teams.
o Basic knowledge of records management systems and procedures.

• Other Skills:
o Strong oral and written communication skills.
o Exceptional attention to detail and organizational abilities.
o Proven ability to work collaboratively within a team environment.
o Ability to interact effectively with individuals at all organizational levels.

Preferred Attributes:

• Knowledge of EPA records programs and file plans.

• Experience with the Versatile records tracking system.

• Familiarity with handling and managing Confidential Business Information (CBI).
