ROLE We are seeking an experienced Records & Data Specialist to support the Work for Warriors North Carolina (WFWNC) program in Raleigh, NC. This role is responsible for maintaining, auditing, and updating program databases to ensure accurate client records, generating reports, and analyzing data to support employment assistance services for National Guard service members, veterans, and eligible family members. The role also includes occasional program coordination and employment support functions as needed.

RESPONSIBILITIES I. Database Operations - Perform database administration to ensure employment data accuracy for WFWNC clients
- Input new data and correct existing data errors in the database
- Verify data coding aligns with entry system and procedural standards
- Apply Salesforce mainframe policy and data code changes
- Review, scan, and index records while updating client information
- Extract and release information in accordance with established regulations
- Maintain Salesforce files (e.g., error audits, log creation, and file purging)
- Resolve data inconsistencies and communicate effectively with government customers
- Develop solutions to address automation contingency plans
- Access automated programs to identify areas for Salesforce improvements
II. Reporting & Compliance - Produce database reports and analyze data for submission to WFWNC Director
- Prepare monthly compliance reports reflecting Army Command drilldown items
- Generate additional Salesforce reports as requested
- Prepare responses to client department questions for government approval
- Follow regulations and WFWNC Standard Operating Procedure (SOP) guidance
- Safeguard confidentiality of service member Privacy Act and HIPAA information
III. Team Coordination - Set up and share work calendar with WFWNC Director and COR at the start of employment
- Update shared calendar with events, meetings, and networking sessions
- Apply interpersonal skills to collaborate with internal stakeholders and clients
KNOWLEDGE & SKILLS - Knowledge of Veterans employment initiatives preferred
- Knowledge of privacy and data protection protocols (e.g. HIPAA, Privacy Act)
- Knowledge of standard office procedures
- Ability to interpret general direction and execute tasks independently
- Ability to work as a team member, manage time, and prioritize workload with little or no supervision
- Ability to analyze data patterns and trends to create comprehensive reports
- Ability to exercise sound judgment when handling sensitive and confidential information
- Strong organizational and communication skills (written and verbal)
BACKGROUND - Experience in a military career field preferred
- Experience coordinating or supporting program or project activities required
- Two (2) years of experience in administrative database entry required
- Experience using the Microsoft Office Suite proficiently required
- Experience maintaining accurate, organized records in digital and physical formats required
- Experience using various software programs to maintain database files and prepare reports required
EDUCATION - Bachelor's Degree or five (5) years of experience in education, counseling, workforce programs, social services, or recruiting required
LOCATION TELEWORK - Not eligible for telework
CLEARANCE - U.S. citizenship is required as it supports the U.S. federal government
CLIENT TRAVEL WORK HOURS - 40 hours
- 8 hours a day
- 5 days a week
