Overview

Spectrum Events is seeking a dedicated, reliable, and outgoing individual to join our Main Office in The Woodlands, TX. This role is ideal for a highly organized professional with strong attention to detail and excellent communication skills. The Front Desk Receptionist / Office Manager will be responsible for maintaining daily office operations, providing administrative support, and creating a welcoming environment for employees and visitors.

This role pays an hourly rate of $19.00-$22.00.

Responsibilities
  • Answer and direct phone calls, screen inquiries, and relay messages.
  • Greet and assist visitors, ensuring security protocols are followed.
  • Manage general office upkeep, including scheduling maintenance, overseeing supplies, and ensuring common areas remain tidy.
  • Provide administrative and clerical support to the team.
  • Assist with booking employee travel and accommodations.
  • Support the executive team with expense reporting.
  • Handle incoming and outgoing mail, including daily post office pickups.
  • Receive, sort, and distribute package deliveries.
  • Set up, schedule and organize conference rooms for meetings as needed.
  • Schedule and coordinate office-related appointments (e.g., maintenance and repairs).
  • Organize and oversee the company's annual blood drive, and other potential volunteer opportunities.
  • Manage company social media accounts, creating and engaging with content.
  • Learn and remember all employees' names and roles within the company.
  • Assist with general office shopping needs as required.
  • Oversee the employee dining and kitchen area daily, ensuring cleanliness, dishwashing, and coffee machine maintenance.
Qualifications
  • Excellent verbal and written communication skills.
  • Professional demeanor and customer service orientation.
  • Strong organizational and multitasking abilities.
  • High attention to detail and ability to maintain confidentiality.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Publisher) and basic familiarity with Canva.
  • Experience with bookkeeping, accounts payable, and data entry is a plus.
  • Ability to analyze profit and loss statements is preferred.
  • Reliable transportation to ensure punctuality and attendance is required.
