New York City based investment management firm seeks a multi-tasking corporate Receptionist/Office Manager to support about 70 people strong successful and stable investment management firm.
Job Responsibilities
- Work as the front desk receptionist to answer, screen and forward incoming phone calls
- Greet and welcome guests; and maintain conference room.
- Provide daily administrative support to the staff and management, including handling office lunch orders, receiving, sorting, distributing incoming & outgoing mail.
- Manage and maintain office supplies and inventory; Manage pantry supplies on 2 modern floors of upscale midtown building.
- Liaise with vendors and building management as the main point of contact to handle onsite requests and delivery.
- Perform tasks such as filing, scanning, and shipping.
- Assist in event planning and coordination.
- Provide support to multiple functions throughout the firm, including Middle Office, Investors Relations/Marketing, Legal and Compliance and IT departments, as needed.
Requirements
- Proven experience as a corporate Receptionist and Office Manager.
- Excellent organizational and time-management skills, with the ability to prioritize tasks.
- Detail oriented, thorough professional.
- A quick and motivated learner.
- Ability to work independently and as part of a team.
- Initiative-taking, responsible with strong interpersonal communication skills.
- Ability to manage confidential information with discretion and professionalism.
- Experience working in financial services or investment management firm a plus
