Scheduling Receptionist

POSITION SUMMARY:

Under the supervision of the Scheduling Manager, the PACE Southeast Michigan (PACE SEMI) Scheduling Receptionist supports the scheduling team at our Corporate location. This role is primarily responsible for communication with PACE participants and care teams and initiates automatic reminder calls 48 hours ahead of all mobile medical appointments, will make confirmation calls to participants when appointments are first scheduled and document all calls in the PACE EMR system.

SPECIFIC DUTIES AND FUNCTIONS:
  • Makes outgoing calls to participants to notify them of future appointments. Phone calls are a large portion of this role.
  • Answers incoming calls, provides information and resolves issues in support of the center schedulers
  • Documents all calls in the PACE EMR system
  • Enters all data into the automatic reminder software for 48 hour reminder calls
  • Runs reporting as requested
  • Manages call volume and opens and closes conversations appropriately.
  • Resolves concerns timely and relays feedback.
  • Checks scheduling voicemails as needed
  • Records messages thoroughly, accurately and legibly and initials messages
  • Calculates all scheduled appointments daily, and enters the data on an excel spreadsheet
  • Communicates with the Pace care teams regarding appointments via (E-mail and or phone)
  • Trains new employees
  • Other duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES:
  • Requires high school diploma or equivalency.
  • Requires knowledge, skills and competencies to work effectively with populations of diverse background and a variety of ages
  • Must possess excellent interpersonal and communication skills
  • Requires the ability to function in a multi-task environment
  • Must be self-directed, flexible and committed to the team concept
  • Must demonstrate teamwork, initiative and willingness to learn
  • Requires basic knowledge of Microsoft Windows programs such as Word and Excel and comfortable using a computer
  • Must have the ability to learn new software programs and run reporting
  • Must be willing to instruct others and be open to new learning experiences
WORKING CONDITIONS:
  • Works in a clinical office setting with some exposure to communicable disease
