Position Summary

Canal Alliance is seeking a receptionist. The receptionist greets clients and visitors and answers and directs incoming clients . This position is the first point of contact for our agency's clients and is a key member of our Canal Alliance team. The receptionist supports the Senior Operations Manager in a variety of clerical tasks such as translations, assisting with deliveries, building security and upkeep. This position is responsible for ensuring that clients feel welcomed at our organization. A successful candidate is passionate believer in the ability of immigrants to improve their lives. The receptionist reports to the Senior Manager of Operations and supports the 711 Grand -Bay Building location. This is a full-time, non-exempt position. This is an in-person role and requires proof of Covid-19 vaccination. Candidates must live in the State of California Candidates should have the ability to work the following schedule:
  • 12:30pm-8:30pm Monday through Thursday
Essential Functions
  • Provide excellent customer service to every person that comes in contact with the agency by prioritizing active listening, empathy, respect, and patience
  • Be ready for clients and guests.
  • Know and understand the full scope of Canal Alliance's programs and be able to answer questions about our services and how to access them.
  • Determine client needs, complete entrance form and direct clients to appropriate staff.
  • Notify supervisor of any critical emergencies.
  • Ensure volunteers and visitors sign in and out appropriately
  • Register clients in Salesforce using Entrance form.
  • Check regularly that the office has all the supplies needed.
  • Report and work with the Senior Manager of Operations to ensure building upkeep and efficiency
  • Support Senior Manager of Operations in purchasing office supplies and receive deliveries.
  • Support Education & Career and Economic mobility programs with admin tasks as requested.
  • Ensure visitors have appropriate parking passes, and provide with one when needed.
  • Translate documents as needed by supervisor.
  • Daily monitoring of facilities to ensure a neat and orderly space.
  • Occasionally support the Admin. team in events and meetings, both onsite and offsite.
  • Ensure a secure environment. Monitoring of main door.

Requirements
  • Bilingual fluency in English and Spanish (reading, writing, and speaking)
  • Associate or bachelor's degree, or at least 1 year of experience as a receptionist in a fast-paced environment
  • Minimum 1 year of experience working with underserved or immigrant populations
Preferred Qualifications
  • Experience using Salesforce or other CRM systems
  • Familiarity with task or project management platforms such as Asana, Trello, or similar tools
Job Functions
  • Provide excellent customer service to every person who interacts with the agency by demonstrating active listening, empathy, respect, and patience.
  • Welcome and check in all clients, volunteers, and visitors; ensure appropriate sign- in/out procedures are followed.
  • Assess client needs, complete entrance forms, register clients in Salesforce, and direct them to the appropriate staff or program.
  • Communicate key information about Canal Alliance programs and services, and support guests with navigating our resources.
  • Serve as a key point of contact during building hours to ensure a safe, secure, and welcoming environment.
  • Monitor the front door and main entrance area to maintain building security.
  • Support Education & Career and Economic Mobility programs by:
o Taking attendance and assisting with registration for classes and special events.

o Assisting guests using classrooms with basic tech and facility needs.

o Receiving and storing daily food deliveries from parents participating in youth programs.

o Lifting boxes or supplies (up to 25 lbs.) and adjusting portable classroom walls as needed to prepare for workshops, events, and programming.
  • Help maintain a clean, organized, and well-supplied front office and shared spaces.
  • Collaborate with the Senior Manager of Operations to report maintenance issues and support building upkeep and efficiency.
  • Assist in ordering and receiving office supplies and deliveries.
  • Provide document translation as needed.
  • Ensure visitors have and display appropriate parking passes.
  • Occasionally support administrative needs for events and meetings, both onsite and offsite.
  • Notify supervisor immediately of emergencies or urgent situations.
  • Perform other duties as assigned by the supervisor.

  • Excellent time management organizational skills with an ability to work quickly, independently, and with attention to detail
  • Ability to manage time and create and oversee building scheduling
  • Strong technical skills, Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel)
  • Ability to be professional and effectively communicate information both verbally and in writing in both English and Spanish
  • Ability to manage stressful situations effectively
  • Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel)
Compensation & Benefits

This is a full-time, non-exempt position with benefits. We offer a competitive pay starting at $33/hr with a benefits package that includes:

Location

This position is fully on-site at our 711 Grand Avenue office in San Rafael requiring 4 days per week in office and attendance at quarterly in-person staff retreats.
