Job Summary The office is seeking a Receptionist (Customer Service Specialist Intermediate) for our Town Square Tower office location. This position will provide customer service assistance and other administrative support services to external customers such as citizens and private and public organizations, as well as the employees of the Attorney General's Office, in person or over the phone. These services are offered by sharing a variety of detailed information on agency divisions, procedural information and services offered by the Agency. This work includes services such as receiving visitors, answering incoming calls, mail processing and several other office support tasks.
A successful candidate in this position will be able to:
- Manage visitors, staff, and deliveries in a secure, friendly, efficient, and professional manner.
- Operate phone systems so that all calls, messages, and inquiries are directed to the appropriate people quickly and courteously.
- Process incoming and outgoing mail and faxes.
This position requires reporting to our Town Square Tower office location in person daily with occasional travel to provide back-up support at the Capitol office location.
Qualifications Minimum Qualifications - Skill in:
- Customer service sufficient to respond effectively to clients, coworkers, and customers who have questions about agency operations and procedures (in person, in writing, on the phone, and other electronic correspondence).
- Customer service sufficient to respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints and disputes.
- Word processing sufficient to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors.
- Using spreadsheet applications, such as Microsoft Excel to enter, compile, store, and retrieve data.
- Ability to:
- Answer questions politely via phone, email, and other written or electronic correspondence.
- Learn to use a multi-line telephone console, efficiently transfer calls, and take accurate messages.
- Explain policies and procedures in a clear, concise, and professional manner to both internal and external customers.
Preferred Qualifications - 2+ years of experience in customer service and/or receptionist roles and responsibilities.
- Education or experience in a law office setting.
- Knowledge of the programs and services provided by the Office of the Minnesota Attorney General.
- Ability to determine task priorities when multiple tasks have competing deadlines.
Physical Requirements - Work in a seated or standing position for extended periods of time
- Use a keyboard for extended periods of time which may include repetitive motion
- Maintain a stationary position for a prolonged period of the day
