Are you organized, detail oriented, and ready to play a key role in the success of a dynamic property management company? Join EBC/Associa as a Receptionist and contribute to the efficient operations of our growing office. We are seeking a dedicated individual to provide essential front desk support to our Rohnert Park branch office.

Our receptionists are the first point of contact for our branch office, making a significant impact through:
  • Professionally greet and direct all visitors.
  • Professionally answer the phone and direct all calls accordingly.
  • Create FedEx labels and track for billing.
  • Maintain the reception sign in sheet.
  • Maintain the front page only of the receptionist binder.
  • Process mailings.
  • Maintain the birthday list.
  • Create and distribute the Monthly Management Board Meeting List.
  • Screen incoming general messages within email and phone mail systems and distribute accordingly.
  • Assist with opening and distributing incoming mail.
  • Process outgoing mail and take it to the post office each day.
  • Ensure the lobby area and kitchen are always kept neat and clean.
  • Organize and file hard copy HOA documents in file cabinets.
  • Assist with special administrative projects.
  • Other duties as assigned.
  • Knowledge of Microsoft Office products (Word, Excel, Outlook,) at a proficient level.
  • Professional customer service and communication skills.
  • Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, et) at a proficient level.
  • Ability to communicate with multiple stakeholders, for example community managers, vendors, peers, clients.
  • Able to work effectively with others in person and in group setting.
  • Able to prioritize, manage time, and meet deadlines.
  • Able to interpret verbal and/or written instructions at a proficient level.
  • High School Diploma or GED Required.
  • At least one year of directly related or closely related experience.
