Summary:

This position is responsible for a variety of tasks such as providing office support to ensure efficient operation in the corporate headquarters. The Office Assistant will support managers and employees through a variety of tasks related to organization and communication, as well as providing overall office support.

Responsibilities:
  • Greeting visitors and callers in a warm, welcoming, and professional manner
  • Provide ongoing telephone coverage, directing calls to appropriate departments
  • Ensure the office is organized and operating efficiently
  • Replenish office materials such as office supplies, kitchen supplies, and snacks, as needed
  • Manage incoming/outgoing mail and postage system
  • Provide a welcoming office setting that promotes company culture
  • Maintain and update all communication systems to include copier system, phone and internal mailboxes
  • Process all new hire requests to include ordering of name badges, business cards, AAA membership as applicable
  • Maintain FEDEX account (and others as determined) for home office and community level
  • Send birthday and holiday cards to all associates
  • Provide support for company training and seasonal events
  • Assist departments in application and implementation of records management policies and procedures
  • Process credit applications for approval and new customer account entry
  • Communicate with Landlord regarding any issues with office suite or building maintenance issues
  • Support the team with clerical duties such as filing, scanning, and organizing documents
  • Complete projects assigned by management in a timely matter
  • Perform other various duties as assigned

Qualifications:
  • Required High School Diploma or GED
  • Minimum of associate's degree preferred
  • At least 3 years' related experience and/or training; or equivalent combination of education and experience
  • Experience in accounts payable, accounts receivable, and data entry
