Essential Duties and Responsibilities:

We are actively looking for a full-time Receptionist/Administrative Assistant to join the Shared Services Department at the firm. The position is located in New York, NY and will report to the Director of Operations. The expected workweek is 40 hours, 8:30am-5:30pm Monday - Friday.

Responsibilities:

• Primary responsibility for answering incoming calls, greeting visitors, and notifying Partners/staff of same.

• Primary responsibility for notifying Partners/staff of incoming documents via the Sax Portal and/or SaxApp and/or E-fax.

• Sorting incoming mail; creating barcodes for client documents to provide to Business Services Support.

• Setting up conference rooms and placing meal orders for internal and client meetings.

• Assist Finance with entering monthly charges and mailing out invoices when requested.

• Work on various firm projects as requested.

• Provide backup to Office Administrative Assistant.

Qualifications:

Maintains confidentiality in all aspects of position. Maintains the ability to use grammatical, spelling and punctuation skills effectively. Must have excellent organizational skills and the ability to multi-task. Possesses excellent interpersonal skills as well as a cooperative and dependable personality.

• Proficiency in Microsoft Office, specifically Word, Excel and Outlook, is required.

• Must be able to type 40 WPM.

• Must be able to sit for extended periods of time.

• Ability to lift boxes up to 15 lbs. is required.

• Expected workweek is 40 hours, 8:30am-5:00pm Monday - Friday.

• Vacation blackouts exist from Feb. 15th - April 15th, and Sept. 1st - Oct. 15th.
