Administrative Assistant/Receptionist BBR Partners is a rapidly growing company providing investment and wealth management services to high-net-worth individuals and families. We are looking for an Administrative Assistant/Receptionist to provide onsite administrative and operational support to clients, colleagues, and a small team of Advisory VPs.
This role will require personal integrity, good judgment in handling sensitive and confidential matters, and exceptional interpersonal and organizational skills. Excellent attention to detail, and timely, independent execution of responsibilities are necessary in this fast-paced environment. The individual must be a responsible team player who is adept at problem solving, creating solutions, and knowing when to escalate issues. The Administrative Assistant must demonstrate flexibility and comfort in collaborating with colleagues across departments and seniority levels, as well as with external parties. An innate enthusiasm for providing exceptional client service is welcomed.
Your Responsibilities: - Greeting visitors, answering incoming phone calls, managing security input, and providing exceptional service to our employees and clients
- Oversee conference room calendars, scheduling and meeting set up and preparation
- Deliver comprehensive administrative, operational and project support to the given team
- Effective and proactive management of team's calendars in Outlook
- Coordination of internal and external meetings, including reserving conference rooms, scheduling videoconferencing, and catering
- Coordinate domestic travel schedules and itineraries including flight, hotel, and car rental reservations
- Expense report preparation using Concur
- Work closely with VPs and senior leaders providing helpful information on upcoming meetings, commitments, and responsibilities
- Track pending tasks and workflows until completion
- Collaborate with the broader hospitality team aiding with onsite lunch set up, special events, offsite community and volunteer activities, and initiatives
- Offer support to our San Francisco and Chicago offices as needed
- Work on interesting and stimulating projects as assigned
About You: - 1+ years of experience in a similar role is preferred
- Ability to work onsite Monday- Friday from 8:30-5pm
- Advanced proficiency in Microsoft Office Word, PowerPoint, Excel); knowledge of Concur and DocuSign a plus
- Exceptional interpersonal and organization skills; friendly and professional demeanor and ability to build rapport quickly
- Strong verbal and written communication skills with a high level of accuracy and responsiveness; service-oriented and proactivity
- Excellent attention to detail and uncompromising commitment to confidentiality, quality, and client service
- Proven ability to work well in and contribute to a team environment
- Flexibility to work overtime, sometimes with limited notice
- Aptitude to thrive in a fast-paced, team-centric environment
- Ability to handle all day-to-day requests with ease, grace, and positivity

Additional Information: Base salary for this position will be determined during the interview process and will vary based on multiple reasons, including but not limited to prior experience, relevant expertise, current business needs, and market factors. The expected base salary for the role will generally be between $70,000 and $80,000 per year at the commencement of employment, but the final salary offered may be outside this range based on these reasons and individual circumstances. Additionally, base salary is only part of the total compensation package, which, depending on the position, may also include discretionary bonuses, alternative incentive packages and Company-sponsored benefit programs. This position is at-will, and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
