Union Settlement is an East Harlem based nonprofit organization founded in 1895. For 128 years, Union Settlement has provided critical and innovative programming to children, youth, families, and older adults. Position: Receptionist

Department: Family Child Care Network

Reports to: Family Child Care Network Director

Hours: Part-time; 18 hours per week

Salary: $23.50 per hour

FLSA: Non-Exempt

Location: On-site

Position Summary:

The Receptionist is responsible for managing the front lobby area. As the first point of contact, the receptionist must exhibit strong interpersonal written, and verbal communication skills. Must have the ability to work in a fast-paced, fun, and energetic environment. This includes demonstrating exceptional organizational skills when performing typical clerical tasks such as answering phones, scheduling meetings, and receiving visitors and program participants for various departments.

Responsibilities:
  • Greet and welcome guests, program participants, and vendors.
  • Notify staff when visitors arrive and direct visitors to the appropriate departments or persons.
  • Answer, screen, and forward incoming phone calls, take messages as needed.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures).
  • Provide basic and accurate information in-person, via phone, and email for assigned programs.
  • Receive, sort, and distribute daily mail and deliveries.
  • Maintain office security by following safety procedures, and managing and monitoring traffic in the lobby area.
  • Order front office supplies and keep an inventory of stock.
  • Update calendars and schedule events for various programs.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Additional duties as assigned by the Director of the Family Childcare Network.
Qualifications:
  • High school degree; additional certification in Microsoft Office a plus
  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • Ability to perform multiple tasks effectively in a fast-paced, challenging, and constantly changing environment
  • A dedicated work ethic
  • Ability to work independently
  • Professional attitude and appearance a must
  • A strong desire to help improve the lives of the residents in the East Harlem community.
  • Bilingual (English/Spanish/French) preferred
