Job Description: The primary focus of this position will be to make a positive impression by greeting and welcoming guests, seamlessly transitioning them to the appropriate area, and professionally answering phones and emails.
ESSENTIAL FUNCTIONS:
- Greet and welcome visitors in a professional and friendly manner. Direct visitors to the correct meeting/conference rooms. Offer refreshments to visitors where appropriate.
- Provide general support to visitors, including generating WIFI passwords and helping with general A/V setup in conference rooms.
- Organize and schedule meetings and appointments.
- Answer phone calls and direct them to the appropriate department or individual.
- Assist with administrative support tasks as needed.
- Distribution of incoming faxes and mail.
- Manage the executive lounge area.
- Enter, track, and follow up on building maintenance requests.
- Maintain and schedule all conference rooms on the 8th floor.
- Handle visitor inquiries, resolve issues, or escalate them to the appropriate leader as needed.
- Order supplies for the Executive Suite breakroom and maintain inventory.
- Validate parking for guests.
- Pick up, sort, and distribute daily US and interoffice mail in the corporate mailroom. Sign for FedEx and UPS packages for the corporate office and notify recipients.
- Supports the Executive Assistants with duties as assigned.
- Other duties as assigned.
QUALIFICATIONS AND REQUIREMENTS - High School Diploma or GED required. College degree preferred.
- Knowledge of electronic medical records

PHYSICIAL REQUIREMENTS: - Occasional flex shift schedule based on operational needs.
- Multiple shifts cover operational hours from 6:30am-5:00pm
- Physical activity including walking, standing, sitting, and lifting.
- Must have the ability to work at fast-paced office with multiple things happening at the same time.
