This position is located in Los Angeles and reports to the Office Administrator.
Job Summary The receptionist is a key member of the office operations team comprised of the office operations and office services coordinators, and the office administrator. The receptionist is responsible for all functions related to receiving calls, clients, vendors, coordination of deliveries and faxes, and directs them to the appropriate individual(s) within the firm according to established policies and procedures. Maintains contact with all office personnel. Observes confidentiality of client and firm matters. Represents first line in office security. Must have a "can-do" positive attitude; be detailed-oriented, flexible and have a concern for the appearance, and operation of the office and support the success of the attorneys.
Essential Functions - Welcomes clients, vendors, and visitors to the office in a professional manner and notifies the appropriate parties of their arrival; maintains visitor log as requested.
- Answers all in-coming calls to the main phone lines (for several JL offices) and directs calls appropriately.
- Maintains calm in the event of hostile and/or difficult situations and administers the appropriate use of emergency procedures.
- Arranges ground transportation for attorneys and/or clients as requested.
- Keeps reception area clean and organized.
Conference Services - Schedules conference rooms in coordination with administrative staff.
- Ensures that all IT, catering, and other support services required are completed prior to meeting.
- Arranges catering and individual meal orders for meetings as requested and in collaboration with office services sets up conference rooms for meetings.
- Refers visiting attorneys/their assistants to JL travel page in Concur for local hotel options.
General Office Services - Setup new hire keycards
- Order plants for new hires
- Coordinating visiting attorney setup
- Place lunch orders
- Manages parking and parking validations
Qualifications/Skills Required - High School Diploma or equivalent required.
- Three plus years as a receptionist in a law firm or client-service organization.
- Ideal candidate must be a pleasant, professional, and tactful individual with ability to operate a multiple-line telephone console and greet clients, vendors, and visitors.
- The ideal candidate will have excellent written and oral communication skills, as well as the ability to multitask and prioritize.
- Ability to work independently with little supervision.
- Organized, with attention to detail and excellent follow-up skills.
- Excellent written and oral communications skills with a willingness to learn and take on additional responsibility.
- Punctual with excellent attendance.
- Must have a courteous and can-do attitude and be reliable, professional, with excellent teamwork skills.
- Clear and accurate communication skills.
- Proficient in Microsoft Outlook, Word, and basic Excel required.

Pay Range: $25.00 - $30.16/hour.
