The College of Science seeks an Administrative Assistant who will contribute to exemplary academic advising services for over 6000 undergraduate students at our West Lafayette location. Our administrative assistant, a critical partner in our success and that of our students, supports the administrative needs of the Director and manages general office administrative needs and the reception area, ensuring a welcoming, high-quality customer care environment. The position is also responsible for phone and email communications, responding to questions, and directing inquiries to the Director and our academic advisors. Importantly, our Administrative Assistant contributes to an environment of inclusion and belonging where all participants feel welcome.

Duties and Responsibilities:
  • Support the administrative needs of the Director of Undergraduate Education and Academic Advising
  • Manage reception and supervise student employees
  • Maintain calendars, schedule meetings, prepare agendas, collect and provide support materials, and record and distribute minutes
  • Compose routine correspondence and draft non-routine correspondence
  • Assist with small event coordination, including room reservations, setups, resource needs, and catering
  • Arrange travel, order supplies, maintain organizational files, make copies, distribute incoming and outgoing mail, and ensure proper functioning of office equipment
  • Update and maintain mailing lists, databases and websites
  • Collect data for use in reports, presentations and meetings
What We're Looking For:

Education and Experience Needed:

• High School Degree or High School Equivalency (HSE)

• Minimum of two (2) years experience in a clerical or administrative support role

• Excellent customer service, verbal, and written communication skills

Experience/Skills Needed:
  • Ability to:
    • handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
    • identify routine problems and implement or recommend solutions
  • Strong organizational and time management skills and attention to detail
  • Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Typing, drafting, filing, data entry, proofreading and editing skills
