Provides effective customer serviceGreets students, faculty, staff and visitors. Assists with directions, routing incoming calls and information. Coordinates visits and appointments and alerts faculty and staff accordingly. Exemplifies cooperation through teamwork. Manages reception area and provides effective customer assistance.
KEY FUNCTIONS Departmental mail and receipt of packages - 5% Conducts daily mail pick up and sorting.
Receives packages for the department and notifies the appropriate Administrative Assistant for the requestor.
Performs routine secretarial duties - 50
% Maintains Phone and Center email accounts.
Maintains general office files. Maintains and orders office and general supplies including booking rooms, receiving equipment/catering.
Helps coordinate participation and schedules of activities across multiple participants- Makes copies, faxing, filing, scanning and other support tasks to assist staff.
Performs data entry as requested. Coordinates document signature requirements for the director's inbox and distribute submitted items promptly.
Monitor and replenish copiers with required supplies as needed. Other duties as assigned.
Simmetrics and Class Support/Scheduling -
35% maintains/updates Simmetrics LMS user database program.
Reviews, schedules and educates participants on scheduling process and procedures.
Assists in the resolution of prerequisite completion and scheduling issues for classes.
Processes in person registration and confirms prerequisites for daily courses are complete.
Maintains daily record of attendance in Simmetrics. Generates reports on attendance and tracking in Simmetrics for leadership review.
Verify key codes have been sent.
Process key codes as necessary.
Process refunds.
Process cancellations.
Respond to other inquiries.
Send course reminder memos to registrants in a timely manner.
Prepare course rosters.
Prepare course materials a required.
Arrange for rental of medical equipment on an as-needed basis.
Scan course documents and hand deliver to CNE Office.
Maintains credit card payments/charges -
10% Acts as point person and contact for Authorize.net and participants and validates/updates payments and reimbursements for classes.
Follows standard operating procedures for institution and center.
Always protects the security and confidentiality of participant information.
Other duties as assigned
Education Required: High school diploma or equivalent .
Experience Required: Two years of front office, clerical or related experience.
Must pass pre-employment skills a test as required and administered by Human Resources. Preferred: Preferred experience includes office administration and coordination, strong proficiency in Microsoft Office, and excellent customer service skills. Bilingual proficiency in Spanish and English is a plus. Experience in document management is also highly valued.
