TERMS OF EMPLOYMENT: 183 DaysQUALIFICATIONS: - High school diploma.
- Good grammar & English speaking skills.
- Bilingual skills in Spanish preferred.
- Ability to use personal computerand software to develop spreadsheets, databases and word processing with skills and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Pass local clerical test
- Effective organizational, communication, and interpersonal skills
- Knowledge of basic accounting principles
- Secretarial experience, preferably in a public education environment
ESSENTIAL JOB FUNCTIONS: - Answer telephone system and intercom phone.
- Place calls in voice mail & locate staff as appropriate.
- Assist parents, students or any other visitors who come to the front office.
- Communication center for any major emergencies or disasters.
- Communicating messages to security and custodial staff via radio.
- Make announcements on intercom as necessary.
- Prepare written correspondence forms, schedules, or reports using personal computer.
- Maintain school calendar of events.
- Schedule meetings and appointments and maintain calendar for principal.
- Sort, distribute or deliver mail and other documents.
- Backup for new student registration as needed.
OTHER JOB FUNCTIONS: - Work with the phone service system on any repairs or problems with the phones.
- Record all greetings & instructions for phone system and set up voice mail for all new faculty & staff.
- Train all faculty & staff on use of the phone & intercom system.
- Assist with all office mailings.
- Assist with new student data entry as requested.
- Demonstrate effective human relations and communication skills.
- Adhere to good safety practices.
- Adhere to all district rules, regulations and policies.
- Attend meetings as required.
- Prepare instructional materials, meeting agendas, honor rolls, graduation lists, and campus communication as requested, using personal computer.
- Maintain confidentiality.
- Other duties as assigned.
