Position Description

POSITION TITLE: Receptionist - Bilingual preferred

FLSA: Non-Exempt

REPORTS TO: Principal

TERMS OF EMPLOYMENT: 183 Days

QUALIFICATIONS:
  • High school diploma.
  • Good grammar & English speaking skills.
  • Bilingual skills in Spanish preferred.
  • Ability to use personal computerand software to develop spreadsheets, databases and word processing with skills and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Pass local clerical test
  • Effective organizational, communication, and interpersonal skills
  • Knowledge of basic accounting principles
  • Secretarial experience, preferably in a public education environment
ESSENTIAL JOB FUNCTIONS:
  1. Answer telephone system and intercom phone.
  2. Place calls in voice mail & locate staff as appropriate.
  3. Assist parents, students or any other visitors who come to the front office.
  4. Communication center for any major emergencies or disasters.
  5. Communicating messages to security and custodial staff via radio.
  6. Make announcements on intercom as necessary.
  7. Prepare written correspondence forms, schedules, or reports using personal computer.
  8. Maintain school calendar of events.
  9. Schedule meetings and appointments and maintain calendar for principal.
  10. Sort, distribute or deliver mail and other documents.
  11. Backup for new student registration as needed.
OTHER JOB FUNCTIONS:
  1. Work with the phone service system on any repairs or problems with the phones.
  2. Record all greetings & instructions for phone system and set up voice mail for all new faculty & staff.
  3. Train all faculty & staff on use of the phone & intercom system.
  4. Assist with all office mailings.
  5. Assist with new student data entry as requested.
  6. Demonstrate effective human relations and communication skills.
  7. Adhere to good safety practices.
  8. Adhere to all district rules, regulations and policies.
  9. Attend meetings as required.
  10. Prepare instructional materials, meeting agendas, honor rolls, graduation lists, and campus communication as requested, using personal computer.
  11. Maintain confidentiality.
  12. Other duties as assigned.
