Role Overview:

Receptionist (On-site - Chicago)

The Receptionist role is to effectively handle all initial contact with clients and others through in-person and/or phone interaction and perform a range of clerical and administrative tasks to support daily operations in our facility. By signing in visitors and inquiring regarding their purpose in the office, the Receptionist plays a crucial role in maintaining office security. The Receptionist facilitates communication in the office by tracking employees' arrivals and departures, including vacations. The Receptionist will present a positive appearance, maintain a professional demeanor and provide exceptional customer service. Additionally, the Receptionist ensures a well-maintained reception area, and any neighboring conference rooms, kitchen/pantry areas. The Receptionist is responsible for coordinating conference room scheduling and catering for meetings and interviews. How You'll Help Our Team Succeed:
  • Greets staff, clients, vendors, and all guests and directs them to or notifies the appropriate parties of arrival
  • Registers visitors with onsite building security; maintains office security by inquiring why visitors are in the office and alerting the manager to any security issues
  • Answers, screens, and announces all incoming calls in a timely and professional manner, using standard reception protocol; takes complete and accurate messages and follows up appropriately
  • Prepares the office for opening and closing each day (e.g., unlock/locks doors, turns on/off lights, equipment); performs a visual check to ensure an orderly office appearance at the start and end of shift coverage and ongoing as needed
  • Schedules conference rooms using scheduling software and addresses scheduling conflicts
  • Coordinates catering for firm and client meetings (e.g., orders breakfast/lunch for client meetings) and assists with room set up and clean up
  • Processes and tracks all incoming and outgoing mail/packages using online shipping software and our standard shipping protocol; maintains office postage
  • Monitors incoming and outgoing faxes and alerts staff of incoming faxes
  • Performs basic operation and maintenance of front desk equipment; reports issues to appropriate personnel; stocks equipment supplies
  • Makes reservations for clients and staff (e.g., hotels, private cars, taxis, restaurants, and airlines)
  • Updates front desk procedures and reception forms for manager review and approval
  • Proofreads materials and drafts team/office communication
  • Reviews, allocates, prepares and researches invoices (e.g., Federal Express, courier, restaurants, etc.) for manager's review and approval
  • Purchases gifts, appliances, decorative items and miscellaneous consumables for the office. Reconciles and allocates corporate credit card purchases
  • Provides general administrative support (filing, document logging, expense reports, data entry assignments, etc.) to the Executive Assistants as needed, using Excel and firm approved software
  • Assists in maintaining corporate contact database and preparation of mailings (e.g., enter new clients, update existing records, marketing mailings, holiday cards, recruiting packets)
  • Assists in ensuring the office facilities are in working order; directly contacts building management for urgent repairs and maintenance needs as needed; tracks and follows up with Facilities lead and assists with office communications
  • Supports office safety prevention
  • Updates phone directory
  • Runs errands, handle pick-ups and deliveries, and courier case documents as needed while ensuring confidentiality of materials
What You'll Need to Be Successful:
  • 1+ years of directly related general office, facilities, or administrative experience
  • Basic knowledge of MS Office required
  • High School Diploma or demonstrated equivalent combination of education, training, and experience
  • The ability to commute to our office in Chicago 5 days per week as this is an on-site role
Cornerstone Research is offering a competitive market base salary for this position. The base salary range represents the low and high end of the salary range for this position in all eligible locations. This range may differ based on your geographic location and cost of living considerations. At Cornerstone Research, we believe compensation is more than just a base salary. We offer a competitive total compensation package that includes an annual performance bonus and comprehensive benefits such as flexible options for healthcare, paid time off, and retirement savings. Relocation assistance is not offered for this position.

Chicago: $41,700 - $51,700
