Office Administrative Assistant / Receptionist
Location: Boca Raton, FL
Full-Time On-Site

A busy, full-service estate planning, probate, administration, and litigation law firm in Boca Raton, FL is seeking a reliable and professional Office Administrative Assistant/Receptionist to join the team. This position plays a vital role in creating a welcoming environment for clients and ensuring the smooth day-to-day operations of the front office.

Key Responsibilities:
  • Greet clients and visitors with professionalism and warmth
  • Answer and direct incoming phone calls in a courteous and efficient manner
  • Manage the reception area, conference room schedule, and maintain a clean, presentable space
  • Prepare the conference room for client meetings, including beverages, materials, and general tidiness
  • Handle incoming and outgoing FedEx, USPS, and other mail/courier services
  • Assist with administrative tasks such as scanning, copying, and filing documents
  • Prepare and organize case binders and legal packets as directed by attorneys or legal staff
  • Maintain office supplies and support general administrative needs
Requirements:
  • Prior experience in a professional office setting, preferably a law firm or similar environment
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Friendly and professional demeanor with strong client service orientation
  • Basic proficiency with office equipment and Microsoft Office Suite
  • Comfortable handling confidential information with discretion
  • Must be punctual, dependable, and proactive
