Bilingual preferred

Experience:
One to three years secretarial and/or office experience, preferably in public education environment
Major Responsibilities and Duties:
Records, Reports, and Correspondence
  1. Receive and direct incoming calls, take reliable messages and route to appropriate staff.
  2. Greet and direct campus visitors.
  3. Assist parents in checking students in and out of school.
  4. Receive, sort, and distribute mail, messages, documents and other deliveries.
  5. Assist with the receipt and distribution of student materials, including homework requests.
  6. Maintain visitor log and issue visitor passes.
  7. Collect and enter attendance and PEIMS data into established database and verify accuracy of according to established procedures.
  8. Prepare and print reports, including attendance reports, grades, class or personnel rosters, end-of-semester reports or accounting reports.
  9. Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, grade books, and schedule changes if applicable.
  10. Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.
  11. Assist parents, student and faculty with questions regarding student attendance.
  12. Process and transmit requests for student information and transcripts.
  13. Call parents to verify student absences as needed.
  14. Report all attendance problems to designated administrator.
  15. Assist with the enrollment, withdrawals and transfer of students and process applicable records.
  16. Assist campus administration with the preparation of reports and student data information.

  5. Participate in staff development, faculty meetings, and special events as needed.
  6. Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
  7. Maintain computerized files using personal computer, including reports, employee roster and mailing lists.
  8. Provide clerical assistance as needed.
  9. All other duties as assigned by the supervisor.
Supervisory Responsibilities:
None.
Equipment Used:
Personal computer or online computer terminal, printer, copier, fax machine and calculator. Working Conditions:

Repetitive hand motions, prolonged use of computer, frequent interruptions, multitasking, confidentiality, work in stressful conditions and occasionally lift 30-35 pounds.
