Receptionist / Admissions Assistant

Classification: Full-TimeNon-Exempt

Qualifications: High school diploma and specialized training with one year of related experience; college credit may be substituted for training or experience where applicable.

Job Summary: Maintain client and program-related records per agency standards; collect data and prepare statistical reports; provide clerical services to clinical staff as required; answer agency telephone as directed; perform other related duties as required.

This is an entry level position.

Duties: Great and welcome guests as soon as they arrive at the office

Direct visitors to the appropriate person and office.

Answer, screen, and forward incoming phone calls.

Interview clients on the telephone for pre-screening and transfer to the appropriate person for scheduling.

Utilze SRC database. Enter admissions, discharges, transfers, release of information, census, etc. Run end-of-month reports.

Utilize state TNWITS database. Includes entering admissions, discharges, transfers, programs, level changes, ASI, GPRA's, etc according to SRC policy.

Perform initial interviews and screening assessments to determine eligibility and appropriate level of care per ASAM criteria

Provide basic and accurate information in person and via phone/email. Receive, sort, and distribute daily mail/deliveries.

Maintain adequate inventory of program forms, admission packets, and client handbooks (IR and TL); organize and maintain an orderly filing system for all forms and program reports

Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).

Update calendars, schedule meetings, arrange travel and accommodations, and prepare vouchers.

Participate in all administrative and staff meetings as scheduled.

Prioritize and train volunteers and work-study students assigned to the Receptionist positions as appropriate.

Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.

Receive and certify appropriateness of items dropped off for clients.

Other duties assigned.
