Description

This Receptionist & Administrative Assistant is responsible for a variety of responsibilities related to both general office administration and assistance in administrative and accounting functions.

Responsibilities:
  • Serves as the first point of contact in handling customer inquiries and complaints
  • Provides concierge level customer service to clients and customers
  • Works with all preferred vendors, including professional photographers, contracts, etc.
  • Maintains flexibility and prioritizes and manages shifting responsibilities as needed
  • Displays professionalism, including confidentiality and discretion, at all times
  • Performs all duties in adherence to Company standards
  • Strives to maintain a safe working environment through the prevention of accidents, the preservation of equipment, and the achievement of safe working practices
  • Maintains a positive and professional demeanor toward all residents, visitors and co-workers
  • Performs other duties as assigned
Qualifications

Education and Experience:
  • High School Diploma or equivalent required, Associates Degree preferred
  • 5+ years of previous administrative experience required, preferably in the residential community management or property management setting
Skills and Knowledge:
  • Must be able to read, write and understand English with strong written and verbal communication skills
  • Computer skills, including Microsoft Office, required
  • Technologically savvy with the ability to learn new programs quickly and troubleshoot common issues
  • Strong analytical skills with ability to analyze complex documents and problem solve
  • Must have excellent attention to detail and high-level accuracy with documents.
  • Excellent customer service skills with an ability empathize and build relationships with a variety of personalities
  • Must possess a very high sense of urgency to meet/exceed established expectations and deadlines
  • Proficient listening, writing, and editing skills
  • Must be well organized, task-oriented, and have an ability to adapt readily to changing priorities in an environment with multiple deadlines

Certifications and Licenses
  • A valid Florida Drivers License with acceptable driving history is preferred
