The EPIC Reception & Administration Assistant we are looking for:
Reporting to the CEO, we are seeking a professional, highly organized, and proactive Reception & Administration Assistant to provide exceptional front-office support while assisting our executive leadership with day-to-day administrative tasks. This dual-role position is essential to creating a positive, efficient, and well-managed workplace experience.

The ideal candidate will be based in Southfield, TX and bring strong communication skills, sound judgment, and the ability to work independently in a fast-paced environment. You will be the face of our office-greeting guests, managing correspondence, supporting the C-suite team, and ensuring smooth daily operations. A keen attention to detail, high level of discretion, and strong multitasking abilities are essential.

As a Reception & Administration Assistant, you will:
  • Serve as the first point of contact for the organization, welcoming visitors and handling incoming calls with professionalism
  • Provide light administrative support to the CEO and executive team, maintaining calendars, scheduling meetings, and coordinating logistics
  • Act as a liaison between executives, staff, clients, and partners while maintaining a high standard of professionalism
  • Format and prepare memos, emails, presentations, and internal communications
  • Organize travel arrangements, including flights, hotels, and dining reservations for executives
  • Manage expense reporting and track receipts for executive team
  • Maintain the office environment-monitor supply levels, manage conference room bookings, and support onsite visits
  • Record and distribute meeting minutes as requested
  • Support planning and coordination of internal events and offsite gatherings
  • Handle incoming and outgoing correspondence and delegate tasks when appropriate
  • Maintain confidentiality and demonstrate sound judgment in all interactions
Requirements
  • Minimum 4 years of experience in a receptionist, administrative, or executive assistant role
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • Ability to prioritize and manage multiple tasks with a calm, composed demeanor
  • Discretion in handling sensitive and confidential information
  • Experience with HubSpot or similar CRM platforms is a plus
  • Basic bookkeeping or expense tracking skills preferred
  • PA or administrative certification is a bonus
  • Ability to pay close attention to detail and be self-motivated
  • Ability to multitask and excel in a fast-paced environment
