FLOCKE & AVOYER COMMERCIAL REAL is seeking a Office Manager and Marketing Coordinator to join our team. Experience in commercial real estate is preferred.

We are a commercial real estate firm specializing in the sale and leasing of shopping centers in San Diego County. Our UTC has 10 commercial real estate brokers with whom you would be interfacing.

The right candidate will be responsible for overseeing administrative functions and ensuring the office runs efficiently as well as providing marketing support for brochures. We are looking for a self-starter with strong organizational skills, who thrives on being part of a team.

Responsibilities (including but not limited to)

Marketing Coordinator

  • Assist in planning and coordination of off-site trade shows (2 -3 a year).
  • Create, update and edit leasing and sales brochures in the Adobe Suite (intermediate skill required - no training provided)
  • Schedule eblasts (Emma/Constant Contact) for marketing brochures
  • Assist with transaction coordination.
  • Assist brokers in showing space to perspective tenants.

Office Manager:

  • Manage office supplies inventory, ordering, and vendor relationships
  • Coordinate office maintenance, repairs, and equipment management
  • Implement and maintain office policies and procedures
  • Assist in planning and coordination of on-site team events/activities
  • Monitor and report on office expenses, supply inventory, and administrative budgets
  • Collaborate with IT department in maintaining all office equipment (eg printers, copiers, digital displays)
  • Handle incoming and outgoing mail, shipping, and deliveries
  • Serve as the primary point of contact for office-related inquiries and issues
  • Support other office-relevant projects as needed
  • Assist accounting with bill preparation and mailing.

Skills & Qualifications

  • Minimum 5-7 years experience as an office manager or similar position
  • Must be willing and able to work in San Diego office
  • Excellent communication & writing skills, with proper use of grammar & spelling
  • Strong organization & time management
  • Positive attitude, team-player, & growth mindset; willing to learn and assist a variety of projects across department teams
  • Strong computer skills, with proficiency in Outlook, Word, Excel, PowerPoint, eblast software, and Adobe Design software (Photoshop, Illustrator).
