The QA Document Control Clerk/Specialist at McLane Global plays a vital role in supporting food safety, regulatory compliance, and quality assurance functions across multiple sites. This position is responsible for maintaining documentation systems, coordinating certifications and audits (GFSI, Organic, FDA/USDA), ensuring safety program adherence, and contributing to cross-functional initiatives for strategic business expansion in 3PL and domestic sales. The role demands exceptional attention to detail, regulatory knowledge, and proactive problem-solving skills to meet both internal and external compliance requirements.
Responsibilities Regulatory & Certification Compliance - Coordinate GFSI audits
- Coordinate organic certification programs and audit documentation for multiple facilities.
- Maintain regulatory documentation and act as liaison for FDA, USDA, and state programs (e.g., WAIRE, Cal Recycle, FSVP).
- Document bi-annual mock recalls across all locations.
- Oversee lab submissions for product testing.
- Ensure allergen/organic separation compliance.
- Manage facility safety documentation, including extinguisher inspections and Cintas programs
- Help track and resolve customer complaints and maintain FDA records.
- Ensure ongoing compliance with water, backflow testing, and other infrastructure regulations.
Quality Assurance & Customer Program Support - Administer product sampling programs and pest control reporting
- Ensure label compliance and translation for both domestic and international markets.
- Complete customer questionnaires and support new client onboarding
- Participate in internal Food Safety Committee for cross-functional collaboration.
Training & Safety - Schedule and circulate weekly Toolbox Talks to promote employee safety and food safety awareness.
- Assist with general safety training and maintain documentation of safety audits and corrective actions.
- Ensure facility-wide safety compliance in alignment with OSHA and company policy.
Domestic Sales & FSVP Compliance - Organize and assist with FSVP documentation
- Review supplier audits for new product lines, including SOP/GMP validation and production oversight.
3PL Business Support - Update audit protocols for 3PL business alignment.
- Assist with GS1/GLN implementation to support traceability and retail partnerships.
- Coordinate bonded/FTZ compliance documentation and support customs tours with CBP.
Facility Compliance - Maintain documentation for facility certifications and operational security.
- Support compliance with permits and licensing
Requirements - Associate or bachelor's degree in food science, Regulatory Affairs, Business Administration, or related field preferred.
- 4+ years of experience in food safety, QA documentation, or regulatory compliance.
- Experience with GFSI audits (e.g., PrimusGFS), organic certification, and FSVP preferred.
- Strong knowledge of FDA/USDA requirements, GMPs, and HACCP principles.
- Proficient in Microsoft Office Suite (SharePoint), document control systems, and regulatory databases.
- Exceptional organizational, interpersonal, and communication skills.
Working Conditions - Office and warehouse environment may require walking production floors and storage areas.
- Occasional travel may be required for audits or facility support.
- Must be able to lift 25 lbs. occasionally.
