SUMMARY

Performs general administrative tasks to support purchasing as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
  • Maintains the integrity of data in Syteline (ERP).
  • Investigates negative inventory and inventory discrepancies. Submits for cycle count or correction.
  • Participates in Inventory Reduction Initiatives.
  • Assists with communications to suppliers and internal customers, including expediting purchased parts and checking on past due purchase orders.
  • Communicates with suppliers and accounts payable to resolve invoice discrepancies.
  • Investigates and tracks purchase price variances (PPV's).
  • Works closely with planning and purchasing personnel to coordinate and provide efficient flow of information.
  • Generates Reports for Production, Scheduling, Shortages, etc.
  • Provides continuity during planner/buyer's absence to maintain acceptable level of service to the internal customer and suppliers.
  • Revises purchase orders and reviews purchase order confirmations.
  • Assists when necessary with the processing of exception messages generated by MRP.
  • Assists in sending, verifying, and storing necessary vendor paperwork.
  • Assists in ECN process, including sending revised drawings to vendors and gathering and storing certs and C of C's.
  • May be responsible for MRO purchasing and requisitions.
  • Able to organize workload with a minimum amount of supervision consistent with prior experience.
  • Has excellent communication skills, and the ability to multi-task.
  • Other duties as may be assigned by the Purchasing Manager.

EDUCATION and/or EXPERIENCE-High school diploma or general education degree (GED); and one to three months (more preferred) related purchasing experience and/or training. Proficiency with Word, Excel, and Outlook. ERP system experience also preferred.

LANGUAGE SKILLS-Ability to read and comprehend simple instructions, correspondences, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, suppliers, and other employees of the organization.

MATHEMATICAL SKILLS-Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY-Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
