Position Summary
Under the supervision of the Administrator and Health Department Director, the clerk is a non-exempt position under the FLSA. This is a supervisory position responsible for coordination or all clerical support, services for the Director. The employee in this position oversees reception and filing for the department. The employee in this position should possess excellent communication, organizational, and public relation skills.
Essential Functions:
1. Supervises clerical support staff to properly complete assigned job responsibilities
2. Coordinates clerical support requirements with the Administrator and Clinical Director to
ensure efficient clinic operations
3. Maintains office inventory and coordinates purchase of office supplies and equipment
4. Receives and distributes mail
5. Maintains the computer system
6. Responds to change productively and completes other tasks as assigned
7. Assists with the recruitment, hiring, training, and evaluation of clerical staff
8. Refers clients to other community resources when necessary
9. Assesses continuing education of clerical staff
10. Pulls client records and documents necessary information
11. Assist the public with forms and statements
12. Performs receptionist duties as required
Perform other duties as deemed necessary or assigned. Potential for growth in this position.
Experience:
One to three years of similar or required experience is required. Employees are expected to have
acquired the necessary skills to perform the job reasonably well within six months to one year of employment.
Education:
A high school diploma or GED is required. A technical degree or some college credit in business,
bookkeeping, or accounting is preferred.
Technical Skills:
A thorough knowledge of office procedures, accounting principles, computer, clerical duties, and a working knowledge of mathematics is required. This employee must be able to operate computers, printers, calculators, photocopiers, and other office equipment. The ability to follow department policies and procedures, to concentrate on Tasks in the presence of distractions, to prepare reports, to type with speed and accuracy, and to interpret written instructions, proposals, reports, and financial statements is required. This employee should possess excellent public relations, supervisory, organizational, oral and written communication skills.
Problem Solving:
Independent problem solving is a factor in this position. This employee encounters problems with personnel issues and clerical errors.
Decision Making:
Independent decision making is a factor in this position. This employee makes decisions about resolving personnel issues, prioritizing daily assignments, and performing daily duties in the most efficient manner.
Financial Accountability:
This employee is responsible for departmental resources and equipment, does have the authority to purchase necessary supplies.
Personal Relations:
Daily contact with the public, co-workers, and subordinate personnel, is expected.
Working Conditions:
No adverse working conditions exist within this position. Working in an office setting with a computer is the primary aspect of this position.
Physical Requirements:
Physical activity associated with working in an office setting is required to perform the daily duties of this position.
