Essential Qualifications/Experience:
- Experience working in an international military or governmental agency protocol environment.
- Experience on major joint or international military staff supporting high-level events such as conferences, exercises, seminars, ceremonies, and VIP visits.
- Familiarity with military or governmental protocol standards.
- Excellent organizational and communication skills.
- Proven ability to manage complex schedules for senior leadership.
- Hands-on experience with electronic registration platforms like Cvent.
- Experience managing protocol software tools such as SocialTables.
- Experience in creating seating plans using tools like AutoCAD.
- Database management experience using platforms like Microsoft Access.
- A college degree or equivalent national academic qualification is required.
- (5 years of professional or military experience in protocol roles may substitute for a degree.)
- Certification in external protocol courses is desirable but not essential.
Desirable Qualifications/Experience:
- Ability to work independently and manage multiple tasks with minimal supervision.
- Professional demeanor, strong interpersonal skills in a multicultural environment.
- Advanced knowledge of word processing, spreadsheet, project management, and graphic design software.
- Formal training such as a Protocol Officer Course or equivalent.
- Training or experience in Portfolio, Programme, and Project Management (P3) is an advantage.
- Previous experience supporting high-ranking military officers or government executives.
- Additional language skills, particularly in French, are desirable.
- Willingness to work flexible hours, including evenings and weekends, often on short notice.
- Attendance at an official protocol training course (sponsored) is mandatory within the first six months of employment.
Duties and Responsibilities:
- Serve as the primary liaison with local authorities and external organizations.
- Develop, maintain, and manage the VIP database.
- Plan, coordinate, and execute all conferences, exercises, seminars, ceremonies, and VIP visits.
- Personally meet and escort distinguished visitors and dignitaries as needed during their visits.
- Create and manage detailed schedules of events, including briefings, luncheons, official tours, accommodations, and transportation arrangements.
- Advise and provide training on customs, diplomatic formalities, precedence, and etiquette.
- Support the organization and execution of official ceremonies, including National Day celebrations and military ceremonial support.
- Maintain comprehensive biographies of senior officials and visiting dignitaries.
- Act as a subject matter expert on protocol planning software applications and event support systems.
