Title: Proposal Coordinator


DesignForce is seeking a dynamic marketing professional for our client, a Maryland-based MEP consulting firm with a diverse focus on healthcare, laboratory, clean room, and higher education projects. Their Germantown, MD office has a strategic need for a Proposal Coordinator who thrives on detail, excels in a deadline oriented environment, and brings strong communication skills to a collaborative, fast-paced team.

Key Responsibilities:

As the Proposal Coordinator, you will:

  • Support the coordination and preparation of proposals of all sizes, working directly with Proposal Manager, Marketing Manager, and Engineering staff.
  • Proactively pursue and track RFQ/RFP opportunities and compose responses that both satisfy technical requirements and are graphically pleasing.
  • Work with Leadership and Senior staff to develop proposal language and collateral materials.
  • Perform research on and track existing and potential clients to support line of sight into new opportunities for the Principal Engineering and Marketing team.
  • Assist in liaising between technical teams and clients to address clarifications, updates, and follow-up requests during the proposal process.
  • Prepare qualification packages and client-specific marketing materials.

This firm is hoping to find someone who can fold into a healthy backlog of work and not only be willing to learn how they develop fee related proposal coordination and details, but someone who can be the master choreographer for pulling all the details together needed. You'll work directly with core leadership in this second generation consulting engineering firm to keep things moving in their dynamic and growing practice.


Additional Responsibilities:

  • While this is not a graphic of web based design role, this hire will have the ability to assist in managing website content and social media presence.
  • Provide support to the marketing team to achieve marketing and business development goals.
  • Collaborate with internal stakeholders to create cohesive messaging that aligns with the company's brand and objectives across various platforms and channels.
  • Foster an environment of collaboration by actively encouraging input, feedback, and creative contributions from team members and other departments.

Preferred Qualifications:

  • Bachelor's degree in Marketing, Communications, English, or related field
  • 1-6 years of relevant experience (AEC industry experience highly preferred)
  • Strong writing, editing, and organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with Deltek Ajera is a plus+, but not required and can be taught
