Job title Property Manager Assistant Reports to Director of Property Management Job Purpose: We are seeking a highly professional and organized Property Manager Assistant to join our small but dedicated team. In this role, you will provide crucial administrative support to ensure the smooth and efficient operation of our property management activities. The ideal candidate will have excellent organizational skills, strong attention to detail, and a proactive approach to problem-solving. This is a part-time position with the potential to transition into a full-time role based on performance and business needs. Duties and Responsibilities:
  • Assist in managing day-to-day property operations, including handling maintenance requests, coordinating lease agreements, rent collection, and tenant relations.
  • Schedule and coordinate property showings, inspections, and move-in/move-out processes to ensure a seamless experience for tenants and property owners.
  • Maintain accurate and current property records, including leases, tenant files, and maintenance documentation.
  • Respond to tenant inquiries, concerns, and complaints promptly and professionally, escalating issues to the Property Manager as needed.
  • Process rental applications, conduct background checks, and verify references to ensure tenant qualifications and compliance.
  • Assist in preparing lease agreements, addendums, and related documentation, ensuring legal compliance and accuracy.
  • Prepare and distribute monthly HOA financial reports.
  • Assist in marketing vacant properties, including updating listings, coordinating professional photography or virtual tours, and managing online advertising platforms.
  • Maintain a neat and organized office environment, handling filing, ordering supplies, and processing mail.
  • Provide general administrative support, such as answering phones, scheduling appointments, and preparing correspondence.
  • Perform other duties as assigned to support the property management team and overall operations.
Qualifications:
  • High school diploma or equivalent required; additional education or certification in property management or a related field is a plus.
  • Proven experience in property management or a related administrative role.
  • Excellent organizational and time management skills, with the ability to handle multiple tasks and meet deadlines.
  • Strong communication and interpersonal skills.
  • Will be expected to develop proficiency with Google Suite (Docs, Sheets, Gmail, Calendar), DocuSign, and ZipForms.
Working Conditions:
  • This role is office-based, with no travel required.
  • Monday - Friday: 8:30 - 12:30
Physical Requirements:
  • Must be able to stand for extended periods, use stairs, and lift up to 50 pounds.
