We are currently assisting our client, a private family office, with their search for a
Property Assistant.
JOB SUMMARY: The
Property Assistant supports the Estate Manager in maintaining the luxury property's standards, overseeing maintenance coordination, and setting up activities. This role is crucial to sustaining high-quality service, providing exceptional support to the estate team, and ensuring smooth operations across all estate functions.
They report directly to the Estate Manager, maintaining regular communication regarding property needs, maintenance updates, and event logistics. This position is essential for preserving the estate's standards, assisting with event execution, and guaranteeing all aspects of the property reflect the highest levels of luxury service and care.
Key Responsibilities - Work closely with the Estate Manager and team to provide assistance with projects and daily tasks.
- Maintain open communication across departments to contribute to smooth property operations and meet team needs
- Assist with routine inspections and help maintain the grounds, interiors, and exteriors to luxury standards.
- Provide support with minor carpentry, wood maintenance, and landscaping, including irrigation checks and repairs.
- Help with event setups, furniture arrangements, and takedowns as guided by the Estate Manager.
- Ensure event spaces are tidy, organized, and ready to meet high-quality standards before and after use.
- Monitor and maintain pool and spa systems, contributing to cleanliness and operational functionality.
- Organize tools and equipment for safe use and assist in scheduling routine maintenance.
- Assist in coordinating schedules for vendors and subcontractors and assist them as needed when they are onsite ensuring timely task completion.
- Address minor mechanical, structural, or logistical concerns and escalate issues to the Estate Manager as necessary.
Required Skills - 3-5 years of experience as a Property Assistant or similar role.
- Proficient in app-based management systems, email communication, and document sharing tools for updates and collaboration.
- Strong knowledge of home, grounds, and building maintenance, including landscaping and minor carpentry.
- Skilled in arranging furniture, equipment, and event materials with precision and care to meet detailed specifications.
- Capable of assessing and resolving minor maintenance issues to ensure smooth operations and guest satisfaction.
- Experience coordinating subcontractors, vendors, and deliveries to align with property standards and schedules.
- Knowledge of irrigation systems, pool and spa systems, including chemical balancing and basic mechanical troubleshooting.
- Proficient in shop and portable power tools, ensuring safety and high-quality results.
- Holds a valid driver's license and capable of passing an intensive background investigation.

Schedule: Monday-Friday 8am-5pm with the ability to work occasional nights and weekends as needed
Location: Scottsdale, AZ Although there are times remote work may be implemented, we thrive on connection and collaboration and therefore expect frequent in-person collaboration.
Eligibility: Must be authorized to work in the US. Work sponsorship is not available at this time.
