Basic Functions: Provide clerical support to the Division Property Administrator. This role will be responsible for managing property projects through completion. Regular attendance is an essential requirement of this position.
Primary Duties & Responsibilities:
- Serve as the primary liaison with internal managers to assess property needs.
- Coordinate with external parties, including architects, contractors, and vendors.
- Prepare and submit funding forms.
- Post project updates and approvals to the department's property system.
- Maintain accurate records in the department database.
- Handle and process change orders.
- Prepare and manage property projects for review by the finance board.
- Track the progress of property projects through to completion.
- In consultation with the Divisional Property Administrator, close out completed projects in a timely manner.
- Maintain both paper and electronic property files.
- Process all property-related invoices and ensure proper documentation is sent to the Finance Department.
- Notify managers of corporate approvals for property-related projects.
- Maintain follow-up files to ensure timely monitoring of project progress.
- Occasional travel may be required.
- Perform other tasks as assigned.

Education & Experience / Qualification Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The following qualifications are required:
- High School Diploma with 2-3 years of related experience.
- Excellent computer skills, including proficiency in Microsoft Word, Excel, and email.
- Must be confident, self-motivated, and capable of handling multiple tasks with integrity in the use of resources.
- Proven ability to work as part of a team and maintain confidentiality.
- Must be highly organized, detail-oriented, and capable of meeting deadlines.
- Strong communication skills are required.
- Must pass all applicable background checks.

Mathematical Skills: Ability to calculate figures such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Reasoning Ability: Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems. Ability to handle abstract and concrete variables.
Computer Skills: Advanced knowledge of Microsoft Office Suite (Word, Excel, Access, PowerPoint). Experience with database systems and project management software is beneficial.
