Job Title: Real Estate Services Administrator
Pay Range: $30 - $32/hr.
Location: Hayward, CA 94545
Duration: 3 Months (Potential to go permanent)
Job Summary:
We are seeking a highly organized and detail-oriented Real Estate Services Coordinator to join our team. This role will involve handling invoices, tracking Certificates of Insurance (COIs), managing vendor and tenant communications, and coordinating contracts and purchase orders (POs). The ideal candidate will have excellent communication skills, strong time management, and the ability to work independently while ensuring all tasks are completed efficiently.
Key Responsibilities:
• Process and track invoices, ensuring accuracy and timely payment.
• Manage and maintain Certificates of Insurance (COIs) for tenants and vendors.
• Serve as the primary point of contact for tenant communications, including notifying tenants of office closures and building updates.
• Coordinate with vendors for maintenance requests, such as addressing roof leaks or other facility concerns.
• Assist in managing contracts and purchase orders, ensuring compliance and documentation accuracy.
• Maintain organized records and documentation to support property management operations.
• Provide administrative support to the property management team as needed.
Required Qualifications:
• High attention to detail and accuracy in handling administrative tasks.
• Strong written and verbal communication skills.
• Ability to work independently and meet deadlines with minimal supervision.
• Excellent organizational and time management skills.
• Dependable, reliable, and confident in handling responsibilities.
Preferred Qualifications:
• Tech-savvy with the ability to quickly learn new software and systems.
• Prior experience in property management, real estate, or administrative support roles.
• Recent college graduates with relevant coursework or internships are encouraged to apply.
Education & Experience:
• High School Diploma or equivalent required.
• Previous work experience in an administrative or customer service role preferred.
Technical Skills:
• Proficiency in Microsoft Office Suite and general computer skills.
• Ability to use property management software and databases (training provided).
