Our client in Dallas, Texas has an immediate need for a Senior Property Administrator on a direct hire basis.

Property Administrator Role:
The Property Administrator provides comprehensive administrative support across security, engineering, and property management functions, ensuring smooth building operations and exceptional tenant service
Assist with all training and operational functions for the Security Department in accordance with post orders, client instructions, and internal/external procedures
Enforce and maintain client access control system
Maintain tenant access badges, add or delete access points, and grant permissions according to the level of access
Maintain Dock Vendor access list with current certificates of insurance and file them in the shared drive
Organize and order office supplies, and assist with general office organization
Provide administrative support to the Security Manager as requested
Provide backup coverage for the Property Administrator during absences or vacations
Greet visitors/guests, offer beverages, and issue guest passes/parking validations
Track the presence of office staff and inform colleagues of whereabouts
Ensure the reception area and conference room are neat and presentable at all times
Operate the main telephone console to receive incoming calls, transfer calls, and take messages when necessary
Perform clerical duties and any additional tasks as required
Issue tenant work orders to engineers as needed and respond to tenant requests in a timely manner
Schedule security clearances, freight reservations, and after-hours access requests
Coordinate courier and Federal Express mail services
Order office supplies for various departments and ensure inventory is maintained
Obtain and manage certificates of insurance for tenants, service providers, and vendors
Prepare expense reports and maintain office equipment in the management office
Coordinate staff celebrations, meetings, and travel arrangements
Set up equipment and refreshments for meetings
Manage tenant move-ins, move-outs, and general moving activities
Maintain the appearance of the management office to meet client expectations
Issue purchase orders and ensure vendors are properly invoiced
Create and maintain both hard-copy and electronic files for tenants and vendors
Manage various contact lists (tenant contact, employee phone list, vendor list)
Manage building signage, tenant news, and tenant engagement materials
Provide backup coverage to Assistant Property Manager role
Property Administrator Background Profile:
Bachelors degree preferred, but not required
Previous experience in commercial real estate or property management, security operations, or engineering support is preferred
Strong verbal and written communication skills
Proficiency in Microsoft applications (Excel, PowerPoint), Prism Work Order system, Preparis, and WinTeam
Experience with managing large databases.
Relationship-building ability with both internal teams and external clients
Tech-savvy with a focus on continuously improving technical skills
Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment
Proven ability to meet deadlines and deliver results in high-volume settings
Ability to maintain professionalism and foster positive relationships with clients and tenants
