Job Description
1. Understand all unique customer requirements for quoting, pricing, order processing, labeling,
shipping, and reporting.
2. Understand sales reps' preferences for communicating information.
3. Respond to all external requests for information as soon as possible. All emails and phone calls
should be responded to within 30 minutes if only to let the customer/rep know you have received
their request and are working on it.
4. Send regular status reports of all open orders to a rep or customer. The frequency of this will be
based upon the preference of the customer/rep and the requirement of information by the factory.
5. Be diligent in hunting down all missing information such as fabric information, finish information,
delivery date requirements, etc.
6. Be diligent to inform customers/reps of any required steps that need to be completed to move orders forward.
7. Receive Requests for Quotes from Customers and Representatives and compile all necessary
information (quote required by date and time, award date, projected production date, and any
other missing details such as fabric, finish, etc. and transfer this information to the internal quoting
department.
8. Communicate any unclear items or questions in a manner that will get answers quickly.
9. Send quotes back to the Customer and/or Rep and/or Sales President (always copying the rep
and/or Sales President and/or other necessary parties) if sent directly to the customer thanking
them for the opportunity.
10. Ask reps/Sales President for feedback within a week of quoting the job if we haven't received the
order and continue to follow up regularly to see if the job was awarded elsewhere or is still open
until we get concrete information.
11. Communicate with the Sales President regularly about current opportunities and requirements.
12. Communicate with the Marketing Director regarding current opportunities and requirements.
13. Formulate a method to track the quote , customer, rep, $ value, date quoted, and date awarded in
order to become more efficient at quoting.
14. Generate regular detailed price lists of regular running and recurring products within both
Hospitality and Residential Markets and special pricelists for special customers.
15. Work well with the internal staff, sales reps, Sales President to evoke a desire to win jobs and grow
the company.
Requirements
- Position requires a Bachelor's degree from an accredited four-year college or university or
equivalent work experience.
- Familiarity with Microsoft Office.
- Confidence working with numbers and spreadsheets
- Ability to meet aggressive deadlines, manage multiple projects simultaneously, and to work in a fast
paced, dynamic, customer and team-oriented work environment.
- Excellent written, verbal, interpersonal skills required.
- Ability to support sales team in region, if necessary, working flexible hours when needed.
- Strong organizational skills with attention to detail
