Position Overview
We're looking for a methodical executor. Someone who thrives on checklists, timelines, clean systems, and well-run processes. If you're the kind of person who catches typos no one else sees, color-codes your Google Drive folders, and always knows what's due next week (and who's responsible for it), you'll love this role.
Your focus will be to help execute structured marketing plans, coordinate seasonal operations, and manage internal projects. You'll own the details, keep our systems tight, and support a smooth rhythm of work across two seasonal businesses.
This role is perfect for someone who thrives in an orderly, behind-the-scenes role - keeping projects moving, organizing data and checklists, and making sure the trains run on time.
This Role Is NOT: Strategic marketing planning - the plan is already mostly built; your job will be to carry it out.
It is also not Design-focused - basic formatting is helpful, but no graphic design is required.
Key Responsibilities
Marketing Operations
- Manage and send email, social media, and print marketing campaigns
- Maintain marketing calendars, templates, contact lists, and content libraries
- Format and prepare flyers, postcards and postcard lists, and proposals
- Track campaign data and organize it for easy reporting
Client & Project Support
- Occasionally send proposals and quotes to clients
- Track seasonal project timelines and ensure nothing slips through the cracks
- Keep client experiences consistent by managing documentation and internal feedback
- Ensure repeatable task lists are completed consistently
Team Support & Admin
- Manage interns and part-time employee onboarding and scheduling
- Review resumes, organize applications, and conduct interviews
- Manage projects using Asana
- Provide administrative support to the sales team
Data & Process Management
- Use Excel and CRM tools to organize data and generate reports
- Help update and maintain internal systems for tracking performance
- Recommend and implement process improvements (templates, SOPs, etc.)
Ideal Fit
- 2+ years in an admin, project coordinator, or marketing assistant role
- You're methodical, task-driven, and get satisfaction from following processes
- You love lists, systems, and keeping things orderly
- You're strong in Google Suite, CRMs, and project tools like Asana
- You communicate clearly and professionally (especially in writing)
- Like working independently, checking things off, and hitting deadlines
- A natural organizer that loves improving systems and workflows.
- Can manage interns or entry-level team members with clear expectations and follow-up
- Bonus: You've worked in a seasonal or small business setting
- Associate's or Bachelor's degree preferred
Why You'll Like It Here
- Monday-Friday flexible schedule
- PTO, 401(k) match, and health insurance
- Variety in tasks depending on season - planning in winter and Spring, executing in summer/fall
- Balance of in-office and remote work. Enjoy the flexibility to choose when to work from home or in the office for much of the year. During peak season, you'll primarily be in the office but still have the option to start your day at home and come in later or leave early and wrap up remotely.
- Ongoing training & professional development opportunities
- We're a small, close-knit company, and while this provides a collaborative environment and the chance to have a direct impact, it also means our organizational structure is quite flat with limited upward mobility into "managerial positions". Growth here is less about climbing a ladder and more about gaining depth of experience.
Compensation:
Base Salary + Performance-Based Bonuses = Total Estimated Compensation of $65,000 - $80,000, depending on experience and skills.
