Position Title: Project Coordinator - Special Projects Group

Position Description

Starting Salary Range: $23 - $26 an hour, depending on experience

Location: Lynnwood, WA

Classification: Non-exempt

General Position Summary:

Provide administrative support to the Special Project Group.


Essential Job Functions:

  1. Support Special Projects Group.
  2. Image/ scan, fax, copy, sort, and file project documents.
  3. Proof read documents
  4. Organize and manage files by project.
  5. Pickup, deliver and copy drawings.
  6. Procure and prepare submittals.
  7. Procure and prepare Operation and Maintenance manuals.
  8. Coordinate red-line and as-built drawings.
  9. Distribute, post, and integrate RFI's to Front Desk.
  10. Distribute materials to team members.
  11. Archive documents.
  12. Estimating
  13. Assist bid process.
  14. Coordinate client / vendor bid quotes through PDM
  15. Coordinate bid documents procurement through PDM
  16. Assist Special Projects Group with procurement.
  17. Prepare purchase orders
  18. SalesLogix
  19. Assist with updating project information.
  20. Assist Special Projects Group with management of project financial information.
  21. Assist with Project Setup form. Acquire job number(s)
  22. Assist with PO closeout for projects
  23. Assist with preparation of subcontracts or project work requests
  24. Assist with job close-outs.
  25. Prepare and submit Expense Report for Special Projects Group Manager.
  26. Regular attendance and promptness are considered part of each employee's essential job functions.

Secondary Job Functions:

  1. Attend meetings and document follow-up actions.
  2. Manage office supplies / equipment / materials
  3. Manage mail and UPS deliveries, shipments, and returns


Position Requirements

Skills Required to Perform the Essential Duties of the Job:

1. Proficiency with MS Outlook, Excel, Word, Adobe, Internet Browsers, Windows, and Explorer file management

2. Accuracy and efficiency with administrative and clerical procedures and systems including filing and records management systems.

3. Professionally handle phone calls.

4. Excellent organizational skills.

5. Strong oral & written communication skills.

6. Work effectively as a team with other employees as well as independently.

7. Work effectively with multiple interruptions and manage priorities.


Education Requirements Needed to Perform the Essential Duties of the Job:

1. Minimum (2) years experience in the construction industry.

2. Associate of Art Degree in Business or equivalent work experience.


Licensing or Other Special Certifications Required:

Maintain a valid Drivers License and satisfactory driving record.
