Project & Office Administrator
The Project Administrator is an ON-SITE resource dedicated to helping the team perform effectively and efficiently. This role will perform a variety of tasks that the engineer, project manager, project lead and management perform. Additionally, duties related to overall function of the office will be performed by this role.
This is a Part Time position with between 15 and 20 hours a week. The hours are primarily between 9am and 1pm. Some hours may be performed off-site depending on the tasks.
Who We're Looking For
Someone who can multitask and still be detail oriented. A person that can help free up the Engineers, Project Managers and Project Leads to provide more time to focus on technical tasks. Effectively increasing the total engineering hours available at Pipeline.
Responsibilities & Duties
- Perform project set up and project closure in our system
- Update Project Travelers weekly with current Time and Expense data
- Enter expenses by project into our system for accounting purposes
- Generate Purchase Orders for projects and track order with supplier
- Receiving duties such as processing incoming shipments, verifying packing lists and placing them in the appropriate project storage area
- Help prepare reports for Project Managers/Project Leads
- Coordinate with service providers or property manager for any repair/maintenance needed on-site
- Check and process incoming mail
- Assist Project Managers with general project duties as needed
- Provide general administrative support
- Monitor and manage office supplies
- Coordinate lunches/catering
Qualifications & Skills
- High School Diploma or GED
- 2+ years of administrative experience with an engineering firm preferred
- Microsoft Office experience needed
- SharePoint experience a plus
- Strong attention to detail
- Organization skills
- Ability to work independently and make decisions
