Our client, a respected construction and engineering design firm, is seeking a Project Administrator to join their team full-time. In this role, you will provide project management, organizational, and administrative support to project teams to ensure the successful execution of assigned projects.

The ideal candidate is self-motivated, detail-oriented, and proactive, with strong organizational skills and the ability to manage multiple tasks in a fast-paced environment. The Project Administrator will provide backup to other PA's and/or administrators in the group, as the project workload and schedules dictate as well as work closely with Project Managers and be responsible for project-specific tasks and issues.

The salary range is between $65,000 - $70,000.

RESPONSIBILITIES:
  • Assist with document control tasks, including maintaining current versions of drawings and specifications after updates are issued.
  • Provide project filing support across multiple platforms, including internal servers and external extranet sites.
  • Support project output tracking and reporting activities.
  • Help maintain up-to-date specifications and drawing revisions under the direction of the Project Manager and Project Administrator.
  • Collaborate with the Construction Administrator to prepare construction administration (CA) reports, logs, and other project materials as assigned.
  • Assist with project planning, including Outlook calendar setup and conference call scheduling.
  • Support Project Managers and Administrators in updating resource reports and project spreadsheets.
  • Coordinate with project team members to prioritize tasks and meet project deadlines.
  • Ensure the correct format and style are used for contract documents and correspondence, in line with company standards.
  • Monitor project schedules and alert the Project Manager or project engineers to potential delays.
  • Assist in the production of Basis of Design (BOD) reports for team use.
  • Maintain project filing systems to ensure all records are organized and up to date.
  • File design phase meeting minutes, weekly archives of project logs and trackers, and meeting minutes distributed by external sources, as assigned.
QUALIFICATIONS:
  • 1-2 years of experience in construction administration or clerical support, preferably in a project-based environment.
  • Associate's degree in Business Administration, Construction Management, Project Management, or a related field required.
  • Prior project coordination experience and familiarity with the construction industry is a plus.
  • Strong ability to maintain confidentiality and exercise sound judgment and discretion.
  • Ability to type a minimum of 60 words per minute with accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with Bluebeam, Adobe Acrobat, and Deltek Vision preferred.
  • Proficiency in MS Project and Newforma is highly desirable.
  • Comfortable with website editing and blogging tools; experience with digital content management is a plus.
PHYSICAL REQUIREMENTS:
  • May be tasked with lifting, carrying, pushing or pulling up to 25 lbs., if able to do so.
  • Must be able to sit for prolonged periods of time and walk/stand for moderate periods of time.
  • Must be able to bend at the knees and waist frequently
  • Must be able to repetitively use a telephone and a computer mouse and keyboard.
