Position Overview

We are seeking a highly organized and detail-oriented Construction Project Administrator to join our team full-time on-site in Pinehurst, NC. In this role, you will be responsible for supporting the construction administration phase of various projects-ensuring all activities align with contract requirements, managing project documentation, and assisting with the daily operations of construction projects.

You'll work closely with the Senior Project Manager and Project Managers to coordinate internal processes, support project planning and execution, and maintain high standards across all phases of project delivery. Key Responsibilities


Schedule Coordination

  • Assist project managers in creating, updating, and maintaining project schedules and scheduling systems.
  • Monitor deliverables and submittal logs; provide reminders for upcoming deadlines.
  • Coordinate and participate in meetings with clients, contractors, subconsultants, and agencies, including preparing agendas and meeting minutes.
  • Support the Senior Project Manager with task scheduling and day-to-day planning.

Project Administration & Coordination

  • Assist in drafting project agreements, including scopes of work, schedules, budgets, and terms.
  • Support the development and management of subconsultant agreements.
  • Aid in project planning, bidding, budgeting, advertising, and reporting efforts.
  • Manage assigned project elements, track tasks, and communicate progress to the Senior Project Manager.
  • Document meetings and follow up on action items and issue logs.
  • Track financial health of projects including percent complete, invoicing, and labor distribution.
  • Maintain deliverables tracking, coordinate signatures for contract documents, and ensure quality standards are met.
  • Coordinate conformed construction drawings and support pre-construction preparation.
  • Maintain accurate and organized project documentation, records, invoices, and databases.
  • Oversee the project closeout process and assist clients with funding requisitions and documentation.
  • Identify and incorporate funding agency requirements into project planning and kickoff.

Qualifications

  • Education: Bachelor's Degree preferred.
  • Experience: Minimum of 2 years in project administration or coordination, preferably in a construction or engineering environment.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite and Adobe Acrobat is required.
  • Familiarity with project management software is a plus.
  • Experience with Deltek Vantagepoint is highly preferred.
  • Soft Skills:
  • Excellent communication, writing, and organizational skills.
  • Strong critical thinking and problem-solving abilities.
  • Ability to work independently and as part of a team in a fast-paced, on-site environment.
  • Bonus: Background or understanding of engineering or construction principles is a plus.
