ATA Services, Inc is currently seeking to hire a Capital Outlay Program Administrator to work on a temporary assignment with the State of New Mexico. This position is located in Santa Fe, NM.
- Pay Rate: $25.00 per hour
- Start Date: ASAP
- Assignment end date: October 2025
- Schedule: Monday - Friday; 8am - 5pm
- Location: Santa Fe, NM (candidate must live in or near the Santa Fe area)
The purpose and goal of this Scope of Work is to provide the provision of temporary staffing to support the Construction Programs Bureau capital outlay section. The position is the Capital Outlay Program Administrator and is in Santa Fe, NM.
Specifically, the employee shall provide the following services:
- Oversee fiscal and administrative management of assigned projects.
- Prepare grant agreements to conform to established policies, procedures and state statutes.
- Ensure grantee is EO compliant and special conditions have been met.
- Send agreements to communities and follow up at regular intervals on return and execution.
- Process encumbrance/change orders in a timely manner.
- Process pay (disbursement) requests in a timely manner and in accordance with CPMS reporting.
- Ensure agreements are accurately entered in agreement history in LGTS, including when closed.
- Ensure the encumbrance section of LGTS is updated with all change orders.
- Ensure all warrant information is entered in a timely manner in LGTS to assist with NMED reimbursement reconciliations.
- Communication: Maintain frequent communication with grantees regarding:
- Status of grant agreement, until fully executed.
- Updated documents including signature page.
- Payment Certification for grantees that have not paid vendors in advance.
- CPMS updates.
- Reconciliations and Reporting:
- Assist with purchase order reconciliations
- Quarterly CPMS updates
- Bond questionnaires
- Personnel Activity Reports (PAR) and SHARE timesheets.
- accurately document the hours worked and all combo codes should be correct.
- weekly time should be entered into SHARE by close of business Thursday of each week.
- Administrative Tasks:
- Perform filing and other administrative organizational duties as needed to support the team's efficiency.
- Internal Process Documentation:
- May thoroughly document internal processes and standard operating procedures (SOPs) to facilitate knowledge sharing and continuous improvement.
Qualifications and Skills
- Strong Administrative skills and experience
- Proficient in Word, Excel, Power Point, Outlook
- Knowledge of MS Project
- Knowledge of SHARE
- Knowledge of SharePoint
- Manage budget, verify work estimates, verify invoices
- Clearly communicate through e-mail, phone, in-person.
- Communicate with all internal and external customers ranging from administrative staff to professional-level
