Company DescriptionJob Description The Project Administration Document Control person is responsible for organizing, distributing, and controlling access to project documentation including plans, specifications, RFIs, submittals, photos, manuals, directories, and other project related data. As a key member of the WDD design team, the Project Administration Document Control person is the studio's central coordinator for the project documentation process at every phase of design and development.
The Project Administration Document Control person leads, and at times guides, the internal and external peer consultant team members in the management and interdisciplinary coordination of all design documents and specifications, ensuring the highest quality of design representation for use and coordination by the entire project team. Throughout the design phases, the Project Administration Document Control person will coordinate with Designers, Directors, Design and Project Managers and provide technical input, ensuring that project documentation on all assigned projects meets deliverable schedules and project schedules accurately.
WDD team members are required on a continual basis to

Essential Duties and Responsibilities include the following:
- Develop, maintain, and enforce standards of project documentation and data organization on local network and cloud-based project and document management systems.
- Actively manage access, organization, and distribution of project data.
- Perform administrator functions on cloud-based project management systems.
- Manage internal and external users, roles, access, and permissions.
- Upload, download, and distribute files, models, plans, specifications, and other project related data for coordination and use.
- Manage, organize, and distribute deliverable documentation for official project milestones.
- Become familiar with documentation and organization of Wynn Resorts current and past projects.
- Create and maintain project and property directories.
- Create and maintain document management manuals, instructions, and best practices.
- Assist the project teams with the maintenance and organization of architectural drawings, specification, and cad documentation, in both digital and printed formats.
- Review deliverable requirements and work-in-progress on an ongoing basis and continually engage in dialogue with directors and project managers to ensure accurate and timely preparation of project deliverables for coordination and use.
- Track all milestone posting schedules and coordinate with project managers to ensure timely completion and distribution of milestone deliverable packages to the project team.
- Participate in design and documentation quality assurance reviews with the design team before issuance of all milestone deliverable packages.
- Coordinate with external document control managers to ensure accuracy and incorporation of deliverable packages.
- Attend internal staff meetings and internal team work sessions to provide input on project documentation standards, and technical input throughout project development.
- During the construction administration phase, assist and support the design team with RFI and submittal workflows.
- At the conclusion of the construction administration phase, coordinate with the project manager to ensure that the project teams have consolidated and archived all project data.
Qualifications Required
- Bachelors/Professional degree in Architecture, Interior Design, Construction or Project Management, or other AEC related discipline from an accredited academic institution is a plus
- Minimum of five (5) years of Document Control experience preferably in significant hospitality and/or entertainment-related design projects
- Must have recently completed (with-in the past 24 months) significant resort hospitality projects through construction administration and closeout
- Previous experience with large scale high end architectural projects
Preferred
- International project and/or client experience within the past three (3) years
- Four and/or Five Star resort hospitality or residential experience
- Strong previous peer consultant relationships based on successful project experience
- Compliance with all Wynn brand training requirements, including completion of WE Lead in its entirety and within the designated timeframe
SPECIAL QUALIFICATIONS
- Comprehensive experience and understanding of the entire project process from concept to completion and have seasoned experience in working with peer consultants
- Knowledge of BIM 360, Procore, Trimble Connect, and Trimble Project Sight and Aconex
- Working knowledge or Revit, Navisworks, and AutoCAD or successful completion of training programs
- Computer Graphic skills, such as Adobe Photoshop, Illustrator, In-Design, Premiere Pro, etc., a plus
- Proficiency in Microsoft Excel, Microsoft Word, Microsoft Outlook, and current Windows operating systems (Office 365 preferred)
- Experience working within database systems
- Familiarity with project management software (Microsoft Project, Procore, Primavera.)
- Ability to work in a creative, collaborative, entrepreneurial, and fast-paced team environment
- Ability to approach all tasks with proactive thinking and a comprehensive plan of action
- Must be self-motivated, self-directed, and possess professional office qualities
- Must have an excellent personal presentation and possess the necessary skills and attributes to represent the qualitative character of WDD in all forms of communication and representation
- Must be an articulate and effective communicator with the ability to direct and coordinate the work of others
- Must be able to communicate visually through excellent descriptive writing skills
- Industry knowledge and awareness of design processes, procedures supporting world-class/leaders in design and innovation
