Project Administrator

We are seeking a detail-oriented and highly organized Project Administrator to provide essential support to our project management team. This role will collaborate closely with project managers, field employees, contractors, and subcontractors to ensure seamless project execution.


Key Responsibilities:

  • Oversee administrative tasks for multiple construction projects from inception to completion.
  • Coordinate with subcontractors and suppliers to manage lien waivers.
  • Assist in the preparation of purchase orders, subcontracts, and other project-related documentation.
  • Process accounts payable invoices accurately and in a timely manner.
  • Prepare job billings and monitor accounts receivable to ensure financial accuracy.
  • Maintain subcontractor and supplier contact records while ensuring compliance with insurance requirements.
  • Organize and maintain project-specific documentation for easy access and reference.

Preferred Qualifications:

  • A minimum of two years of experience in a construction or engineering administrative role.
  • Proficiency in Microsoft Office Suite, including SharePoint and OneDrive.
  • Experience with project accounting systems such as Sage, Oracle, or Vista by Viewpoint (highly preferred).
  • Familiarity with Textura, GC Pay, or Procore.
