Career Opportunity Patriot Engineering is looking for a full-time, detail-oriented
Project Administrator to join our dynamic Geotechnical team in Indianapolis. This is an exciting opportunity for a proactive individual who thrives in a collaborative environment and enjoys the challenge of coordinating multiple moving parts. In this role, you will support geotechnical project execution from start to finish, ensuring operational efficiency through high-level administrative support, internal coordination, and exceptional client service. You'll work closely with Project Managers, Division Leaders, and other departments to make a lasting impact on the success of projects and the overall growth of our Geotechnical Engineering service group.
EssentialFunctions:Geo Tech Project Administrator Duties - Assist Project Managers in managing and tracking project finances, including vendor setup, client inquiries, billing, lien waivers, and collections issues
- Provide administrative support to the Division Lead on group management and various internal initiatives
- Organize and maintain databases and spreadsheets; perform accurate data entry
- Track proposal activity and assist in client follow-ups and proposal submittals
- Coordinate communication between internal teams and external vendors, including sub-drilling firms
- Provide technical and administrative support using project management tools such as Deltek Ajera, with an expectation of deep familiarity to support PM growth
- Track and manage monthly WIP (Work-in-Progress) and support collections follow-up
- Handle mileage tracking, vendor documentation (W9s, COIs), and invoicing/payment issues
- Schedule and track vehicle maintenance for the Geotechnical group fleet
- Provide front desk coverage and in-person guest reception support when needed
- Assist with the preparation and submission of INDOT and Geo Duke documents and requirements
- Participate in proposal and RFQ/SOQ efforts, including contract checks and Construct Connect follow-up tasks
- Lead weekly team meetings, update tracking documents, and support internal coordination
- Maintain and update yearly group documentation such as rate sheets, staff lists, and appendices
QualificationsQualifications: - Minimum of 3 years' experience in project administration, preferably in the Engineering, Construction, or AEC industries
- Strong proficiency in Deltek Ajera, with the ability to train or assist Project Managers in its use
- Familiarity with INDOT and Geo Duke project processes and documentation is highly desirable
- Excellent organization, multitasking, and communication skills
- Ability to manage competing deadlines and priorities with minimal supervision
- Proficient in Microsoft Office Suite, especially Excel
- High attention to detail, strong follow-up skills, and a collaborative, team-first mindset
- Self-starter with problem solving and accountability
