PROJECT ADMINISTRATIVE ASSISTANT

Salary Grade: 14

$49,636 - $56,810

The Research Foundation for Mental Hygiene, Inc. is seeking two (2) qualified candidates to fill the full-time position of Project Administrative Assistant in the Office of Planning and the Office of Financial Management - Community Budget & Financial Management (CBFM) Group within the Office of Mental Health (OMH).

The OMH Office of Planning and Office of Financial Management has central responsibility and authority for policy analysis, program development, performance tracking and improvement, financial management, resource maximization, and technical assistance. Finance helps to ensure that programs and administrative operations have the information, analysis, funding, and technical capacity to deliver critical services effectively and meet OMH's objectives.

The candidate must demonstrate initiative, be responsive, and have strong organizational and communication skills and be able to tailor a presentation for its intended audience.

Responsibilities and duties include but are not limited to:
  • Assist in the administration and recordkeeping of assigned programs for the NYS Office of Mental Health.
  • Monitor shared mailboxes for applications, procurement & programmatic questions, applicant/awardee updates, any other related inquiries.
  • Responsible for distributing program materials, program awards, Q&A responses, and any other outreach as required by assigned programs.
  • Application review, data entry, and tracking with applicant follow up as needed.
  • Able to work with agency finance and programmatic staff to escalate and resolve provider inquiries.
  • Responsible for reviewing program materials.
  • Research ad hoc questions and work on ad-hoc assignments as assigned.
Minimum Qualifications
  • An Associate's degree or 60 credits from an accredited college; or
  • Two year of professional, technical, or administrative experience in one or more of the following fields: customer service, administrative/clerical, program evaluation, contract negotiation/management, fiscal/financial management, project management, economics, mathematics, business administration, public administration, public policy.
Preferred Qualifications
  • Prior experience in one or more of the following areas: customer service, project administration, program evaluation, grant management (application review, implementation, and monitoring), contract management (development, processing, and monitoring), fiscal management (planning, implementation, and monitoring), and policy analysis.
  • Organizational skills for record keeping and other related tasks, shared e-mail mailbox management, time management, customer service (public facing and internal clients), self-starter, attention to detail, interpersonal communications, problem-solving skills, and the ability to work with employees at all levels.
  • Moderate level of proficiency in Microsoft software (Outlook, Word, PowerPoint, Excel, Teams, SharePoint).
