SUMMARY/OBJECTIVE:
The A/P Loan Draw Accountant will work collaboratively with the Job Cost Accountant and Lead Project Accountant to oversee the financial operations related to project cash flow, accounts payable, and loan draw processes. This critical role ensures that financial resources are managed efficiently, vendor relationships are maintained, and lender requirements are met to support the successful execution of construction projects.
ESSENTIAL JOB DUTIES:
Accounts Payable Management
- Oversee the full-cycle accounts payable process for construction and development projects.
- Ensure timely and accurate processing of invoices, purchase orders, and payments.
- Maintain accurate and organized vendor records, including preliminary lien notices and W-9 forms.
- Reconcile vendor accounts and resolve discrepancies promptly.
- Maintain accurate coding of project expenses and adherence to company budgets.
- Prepare checks, electronic payments, and expense reimbursements.
- Resolve discrepancies with vendors and internal departments to ensure invoice accuracy.
Loan Draw Administration
- Prepare and submit detailed loan draw packages to lenders, ensuring compliance with loan agreements.
- Track loan draw schedules, outstanding balances, and funding availability.
- Coordinate with project managers, lenders, and internal stakeholders to gather required documentation.
- Reconcile loan accounts and resolve discrepancies with lenders to expedite funding.
Project Cash Flow Management
- Develop and maintain accurate cash flow forecasts for ongoing and upcoming construction projects.
- Monitor cash flow to ensure sufficient liquidity for project expenses and operations.
- Identify potential cash shortfalls and work with leadership to address funding needs.
- Provide regular updates on cash flow status to senior management.
- Assist with preparation of project Cash Flow Requests.
Financial Reporting and Compliance
- Generate detailed financial reports on AP activity, loan draw status, and project cash flow.
- Ensure compliance with internal controls, GAAP, and regulatory requirements.
- Support audits, lender reviews, and internal financial reviews as required.
Collaboration and Process Improvement
- Collaborate with project managers, finance, and operations teams to align financial practices with project goals.
- Identify opportunities to improve AP workflows, loan draw preparation, and cash flow management processes.
- Implement systems and tools to enhance efficiency and accuracy.
- Ensure adherence to company policies and industry standards in all transactions and processes.
- Support the accounting team with other duties as needed, contributing to a collaborative team environment
EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:
- Associate's or Bachelor's degree in Finance, Accounting, Business or a related field or equivalent experience with a proven track record of success in similar roles.
- Minimum of 3-5 years in accounts payable, construction finance, or project accounting, preferably with a national home builder or in the construction industry.
- Strong knowledge of AP processes, job costing, and cash flow forecasting.
- Proficiency in construction accounting software/ ERP system and MS Office Suite.
- Excellent analytical, organizational, critical thinking, and problem-solving skills.
- High attention to detail, personal accountability, and adaptable.
- Ability to manage a heavy and evolving workload independently and successfully.
