The
Programs Grants Administrator role for St. Mary's Food Bank is responsible for managing and overseeing the entire grant process, from researching and identifying funding opportunities that align with St. Mary's and agency partner goals to strengthen agency capacity and improve performance. The role includes reviewing and vetting agency partner grant applications, managing budgets, monitoring the use of awards, and ensuring grantees meet all required deliverables and reporting standards.
Essential FunctionsGrant Research and Application - Identify Funding Opportunities: Research and identify potential funding sources from government agencies, private sector organizations, and philanthropic institutions that align with department and agency goals.
- Coordinate Grant Applications: Lead and manage the preparation and submission of grant applications, ensuring all required documents, budgets, and narratives are accurate, complete, and aligned with strategic goa
- Collaborate with Partners: Work closely with the Agency Support team and agency partners to gather necessary data and supporting materials for grant applications.
- Grant Vetting: Evaluate grant opportunities to determine strategic fit and feasibility before proceeding with applications.
- Grant Compliance
- Manage Awarded Grants: Oversee the administration of grants, including internal, external, and pass-through grants, ensuring compliance with all terms and conditions.
- Monitor Performance and Reporting: Track the progress of awarded grants, ensuring that deliverables, performance objectives, and reporting deadlines are met.
- Ensure Financial Compliance: Monitor the use of grant funds to ensure spending aligns with approved budgets and grant terms.
- Budget Management
- Track and Report Expenditures: Monitor grant-related expenditures and provide regular financial updates to stakeholders.
- Reconcile Budgets: Review financial reports and reconcile grant budgets to ensure funds are used effectively and in compliance with grant requirements.
- Submit Reports: Prepare and submit timely progress reports, financial reports, and final reports to funders, ensuring accuracy and adherence to deadlines.
Inventory Management - Oversee Grant-Related Inventory: Manage inventory related to awarded grants and serve as the primary contact for coordination between transportation, warehouse, and agency partners.
Performs all functions according to established policies, procedures, regulatory and accreditation requirements, and applicable professional standards. Provides all internal/external customers of St. Mary's Food Bank with an excellent service experience.
Scope and Complexity May interact with all levels of leadership, employees, agency representatives, community neighbors, volunteers, external vendors, and clients.
Physical Demands/Environment Factors - Requires extensive sitting, standing, and walking.

Minimum Qualifications - Bachelor's degree in English, communications, creative writing, or a related area
- A minimum of two-years of experience in grant management
- Excellent knowledge of proposal submission and fundraising process
- Ability to study and understand programs and funding requirements of the organization
- Strong research skills and knowledge of information sources
- Multitasking, organizational and time management skills
- Ability to handle confidential matters with utmost integrity
- Excellent communication (oral and written) skills
- Ability to take initiative and work independently to establish and manage work priorities, activities, and timelines to achieve results
- Exhibits sound judgment and swift decision-making skills

- Ability to critically review, summarize, and report findings and recommendations
- PC skills include working knowledge of the Microsoft environment and the ability to access, manipulate, organize, and relay information in a meaningful way.

Preferred Qualifications - Bi-lingul in English and Spanish preferred.
