The University of Utah's Executive Education department is seeking a motivated, detail-oriented Program Support Assistant to assist with day-to-day program operations, events, and administrative support. This role provides valuable hands-on experience in a fast-paced, professional setting, working directly with Utah's leading businesses and executives.

Responsibilities

Minimum Qualifications
  • Must be a current University of Utah student. High school diploma or equivalent required.
  • A passion for hospitality and events, with a commitment to delivering exceptional customer service to students, faculty, and staff.
  • Detail-oriented, efficient, self-reliant, and a team player who thrives in a fast-paced environment.
  • Ability to work effectively under pressure and independently with minimal supervision.
  • Proven ability to work well in a team setting and communicate effectively.
  • Professional phone etiquette and excellent written and verbal communication skills.
  • Professional business casual attire is required.
  • Ability to lift, carry, and move up to 20 lbs. and stand for extended periods in preparation for events.
Key Responsibilities:

Event & Program Support
  • Assist with planning, setting up, operating, and breaking down events.
  • Prepare participant materials and ensure hospitality needs are met.
  • Engage with clients, students, and faculty during events, providing a welcoming, professional environment.
  • Participate in post-event debriefs and help implement improvements.
Administrative & Office Support
  • Provide front desk coverage and greet visitors.
  • Answer and screen phone calls; respond to inquiries via email and in person.
  • Maintain and order office supplies; handle incoming and outgoing mail.
  • Support general data entry, printing, filing, and organizing program materials.
  • Schedule meetings, manage calendars, and assist with logistics coordination.
  • Help maintain program documentation, contact lists, and inventory.
Customer Engagement
  • Communicate with prospective students and clients with professionalism and warmth.
  • Support outreach and follow-up communications as needed.
  • Represent the Executive Education brand in all interactions.
