Position Summary:

We are seeking a highly organized and adaptable Program Specialist IV to support administrative operations and assist the Administration Manager in various high-level tasks and projects. This role requires a detail-oriented professional who thrives in a fast-paced environment, has strong interpersonal skills, and demonstrates the ability to handle sensitive matters with discretion and efficiency.


Key Responsibilities:

  • Assist the Administration Manager in preparing administrative reports, PowerPoint presentations, research projects, and special studies.
  • Handle escalated administrative matters and respond promptly and professionally to internal staff and external members.
  • Serve as backup to the Investment Scheduler, including managing scheduling needs and coordinating logistics for breakfast/lunch meetings.
  • Distribute incoming mail and newspapers, and prepare outgoing mail for FedEx and other delivery services.
  • Provide backup support to the Administrative Assistant, including greeting visitors and managing a busy, multi-line phone system.
  • Support various ongoing projects and assignments as directed by the Administration Manager.

Required Qualifications:

  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to create and edit charts, prepare diligence memos, and design professional presentations.
  • Familiarity with Adobe Acrobat and Visio is preferred.
  • Proven experience working in administrative or program coordination roles involving cross-functional communication and project support.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, time management, and organizational skills.
  • Ability to work independently, prioritize tasks, and maintain confidentiality.

Education & Experience:

  • Associate's or Bachelor's degree in Business Administration, Public Administration, or a related field preferred.
  • Minimum of 4 years of experience in administrative support or program coordination.
