Job Description

Program Resource Specialist for Department of Mass Media & Strategic Communication

Responsibilities

Manages the daily operations of the Department of Mass Media & Strategic Communication

Serves as the Administrative Support Specialist to the Chair, 12 Faculty Members and all MMSC Majors; Supervises Program Support Assistant and Student Employees

Reconciles ledgers and procurement cards; enters invoice payments; processes deposits; enters and pays contracts

Maintains personnel files, vitae, syllabi, files and databases for outreach initiatives, equipment and key inventories

Maintains digital backup to all files

Prepares and processes position descriptions; prepares and processes travel expense reports

Conducts interviews of Student Employees candidates and Program Support Assistant

Assists with faculty /staff searches and functions vital to reaccreditation.

Enters and processes new hires; meets with new hires to brief them on departmental policies; secures devices, keys and supplies for new hires

Makes reservations for guest travel and departmental events; provides clerical support for guest travel and special events

Attends faculty meetings and training sessions

Enters and reconciles payroll for student employees, staff members and chair

Prepares and processes journal entries

Processes termination requests, additional pay requests, adjunct and overload pay requests

Enters, verifies and maintains course entries in Banner; enters financial aid overrides

Assists with drop/add forms as needed

Maintains office supply inventory

Creates/maintains/revises advisee databases files, and Banner entries

Submits requests for course material and textbooks

Greets and serves students, parents, and visitors

Receives and makes phone calls; takes messages for faculty and staff

Receives and sends emails to students, faculty and staff

Posts slides to the digital signage; maintains job and internship postings

Qualifications

Knowledge of office procedures

Communication skills to include excellent verbal, written and interpersonal competencies

Excellent organizational/detail abilities to manage, prioritize and multi-task

Ability to be self-motivated, self-disciplined and to maintain confidentiality

Skilled in accounting and bookkeeping procedures

Computer proficiency skills, to include both Word and Excel software
